Bellarmine Preparatory School is Hiring an ATTENDANCE OFFICER AND SUBSTITUTE COORDINATOR Near Tacoma, WA

Position: Attendance Officer and Substitute Coordinator

Department: Dean of Students

Supervisor: Dean of Students / Vice Principal of Curriculum and Instruction

Job Overview:

The Attendance Officer and Substitute Coordinator at Bellarmine Preparatory School plays a crucial role in ensuring the accurate recording and management of student attendance. Responsibilities will include tracking daily attendance, managing the substitution process, collaborating with teachers and administrative staff, and implementing strategies to address attendance-related issues. This position requires excellent organizational skills, attention to detail, and the ability to communicate effectively with students, parents, and school staff.

Core Functions and Duties:

  • Attendance Management:
    • Maintain accurate records of student attendance daily.
    • Record and track student absences, tardiness, and early dismissals accurately.
    • Monitor and report patterns of absenteeism or tardiness.
    • Work closely with faculty and administration to address attendance-related matters promptly and effectively
  • Substitution Management:
    • Oversee the substitution process by coordinating with teachers and substitutes.
    • Maintain attendance and leave type of teachers, including check-in/check-out process
    • Maintain an updated database of substitute teachers and their availability.
    • Communicate with substitute teachers regarding assignments, schedules, and expectations.
    • Ensure seamless transitions between classes during teacher absences
    • Ensure timely and accurate communication regarding teacher absences and substitute assignments.
    • Work in coordination with the Vice Principal on Curriculum and Instruction.
  • Dean of Students Support:
    • Maintains and prepares attendance reports for the Dean of Students.
    • Manage documentation and student records for disciplinary purposes and reports.
    • Assist in managing the coordination of lunch supervision.
    • Support the Dean of Students with the budget process.
  • Communication:
    • Communicate with parents and guardians regarding student absences.
    • Work closely with school administrators to provide attendance-related updates.
    • Assist in the development and implementation of attendance improvement plans.
  • Data Management:
    • Utilize attendance management software and databases to track and analyze attendance trends.
    • Generate regular reports on attendance data for administrative review.
  • Front Desk Reception:
    • Greet visitors, students, and employees courteously and professionally.
    • Answer incoming calls and direct them to the appropriate personnel.
    • Manage inquiries and provide information to parents, students, and visitors.
    • Manage visitor check-in process
  • Health and Safety Support:
    • Assist with the school’s Emergency Management process
    • Maintains medication permission forms and disperses medications to students, with doctor and parent authorization.
    • Provides basic first aid care to ill or injured students in the health room; maintains check-in log for the sick room; contacts parents and arranges for transportation as needed.
  • Administrative Support:
    • Assist with various administrative tasks, including data entry, filing, and document preparation.
    • Collaborate with school staff on special projects and events as needed.
    • Support the overall operations of the school office in a timely and efficient manner.
  • Collaboration and Professional Development:
    • Stay updated with relevant policies, regulations, and best practices related to attendance management and office administration.
    • Collaborate with colleagues or supervisors to identify areas for professional growth and development, and actively seek opportunities for learning and improvement.
    • Community Involvement and Engagement
    • Actively participate in the school's faith community, attending religious events, Masses, and service projects.
    • Engage with the wider community to promote the school's mission and values.

Competencies/Qualifications:

  • High school diploma or equivalent; bachelor’s degree preferred.
  • Previous experience in a school setting or related field is advantageous.
  • Strong organizational and time-management skills.
  • Excellent communication skills, both written and verbal.
  • Proficient in using attendance management software and Google Suite.
  • Ability to work independently and collaboratively within a team.
  • Commitment to working with a diverse student body
  • Understanding of student privacy laws and confidentiality protocols.
  • Familiarity with Jesuit education principles and a commitment to Bellarmine’s mission.

Compensation:

  • Hourly position
  • Hourly range: $16.97 - $21.21
  • 11-month position
