Dispatch: Skills and Expectations

Summary Scheduling work crews, drivers and equipment to appropriate locations according to predetermined schedules or immediate needs.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Prepare and distribute daily work schedules.

Speaking with supervisors or customers to resolve problems, requests for services or

equipment.

Relaying information such as Work Orders (EWO's) or other messages to and from

work crews, supervisors, or other personnel.

Ensuring work orders and their information is flowing properly between the field and

office.

Assist with equipment resourcing.

Maintain current vendor and client relationships.

Attend all daily in-house scheduling meetings.

Coordinate rental pricing following established company protocol. PO's.

Monitoring equipment rentals. Distribute VP Short Term Rental Equipment report

EOD Tuesdays.

Maintain and ensure accuracy of the equipment data base for owned and rented

equipment using VP and HJ software.

Obtain proper licensing and permitting for all trucking needs.

Verify truck tickets to field tracking software, coordinate with Belair SUppOlt Staff.

Equipment hour tracking and utilization reporting.

1. 4:00 PM daily meeting schedule - facilitate and document - distribute to appropriate

individuals and update as needed (PW-sbs)

2. Weekly payroll tie out (payroll spread sheet) to HR in Minnesota - Mondays by noon

a. Verify equipment is linked to an operator.

b. Verify hours for OT is entered correctly i.e. 811 for field employees.

c. Verify hours for FS are entered correctly.

i. Minimum of 8 per day.

ii. Actual hours worked posted to jobs.

3. Assemble and distribute information from field.

a. Green Sheets - Scan by day to Job Folders (T Drive). Originals to Safety Manager.

b. Tool Box Talks - Scan to server. Originals to Safety Manager.

c. Blue Sheets - To Kevin.

d. All Receipts/packing slips/Shoco - To Toni.

e. Trucking tickets, dump tickets, aggregate tickets - to Chena.

f. Daily HJ checklist. Scan to T drive. Project Documentation. Field Notes.

4. City and County water meters

a. Maintain water meter inventory. Know where meters are located.

5. Employees and equipment

a. Enter into HI

b. Employees need to be in the correct category.

c. Equipment needs to be put in the correct category. Make sure they populate with an

hourly rate.

6. Rental Equipment As needed.

a. Procure rentals as needed.

b. Complete PO - Trent approves all rentals and signs rental PO's.

c. Enter Equipment into VP.

d. Enter Equipment into HJ.

7. Trucking

a. Schedule trucking.

b. Daily trucking ticket from field - sort by job; and numerically by day; confirm they

are in HJ; turn into Toni.

8. Caterpillar monthly usage report (County & Days).

9. Thorough review ofHJ - daily.

a. Is information coming in from the field on the jobs scheduled?

b. Review HJ for production quantities, minimum hours, 1070.

10. Schedule mobilizations and moves.

11. Keep the yard organized - schedule labor needs on schedule.

12. Master of the keys.

a. Organize and maintain inventory of keys and who has them.

b. Secure keys.

13. Facility repairs.

a. Schedule repairs and maintenance - Gabe to approve.

14. EWO's

a. Enter information into HJ and VP as EWO's are received from PM's.

15. 470 Tolls

a. Set up users online.

b. Monitor monthly useage.

16. Adams County Clerk.

a. Annual licensing - Vehicles and equipment.

b. Update VP.

Supervisory Responsibilities

Lowboy and mobilizations.

Education and/or Experience - One year certificate from college or technical school; or three to

six months related experience and/or training; or equivalent combination of education and

experience.

Language Skills - Ability to read and interpret documents such as safety rules, operating and

maintenance instructions, and procedure manuals. Ability to write routine reports and

correspondence. Ability to speak effectively before groups of customers or employees of the

organization.

Mathematical Skills - Ability to add, subtract, multiply, and divide in all units of measure, using

whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and

to draw and interpret bar graphs.

Reasoning Ability - Ability to solve practical problems and deal with a variety of concrete

variables in situations where only limited standardization exists. Ability to interpret a variety of

instructions furnished in written, oral, diagram, or schedule form.

Computer SiriUs - To perform this job successfully, an individual should have knowledge of

Accounting software; Database software; Internet software; InventOlY software; Order processing

systems; Payroll systems; Spreadsheet software and Word Processing software.

Certificates, Licenses, Registrations - Must have valid drivers' licenses.

Other SlriHs and Abilities - Ability to speak Spanish is a plus.

Other Qualifications - Must be able to travel to other offices if needed.
