PRIMARY PURPOSE:

Assist with the daily operation of the transportation office and provide clerical services to the Assistant Director of Transportation. Provide initial contact with public concerning inquiries, general information, or problems and directing individuals to the proper authority for further handling. Assist dispatcher when necessary.

QUALIFICATIONS:

Education/Certification:

  • High school diploma or GED

Special Knowledge/Skills:

  • Effective communication and interpersonal skills
  • Knowledge of correct English usage, grammar, spelling, and punctuation
  • Ability to receive and give verbal instructions effectively
  • Good telephone and 2-way radio communication skills
  • Strong organizational skills
  • Knowledge of general office procedures
  • Proficient computer and file management skills
  • Basic math skills
  • Ability to use computer and software to develop spreadsheets, databases, and do word processing
  • Knowledge of dispatching procedures
  • Knowledge and ability for routing and scheduling buses
  • Ability to complete required bus driver safety training
  • Knowledge of student discipline behavior

Experience:

  • One to five years of secretarial experience, preferably in a public education environment

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Receive visitors; screen those that can be handled without the supervisors’ assistance and transfer calls or visitors to the appropriate personnel.
  2. Answer incoming calls and handle questions and requests that fall within level of authority. Take messages and route them to appropriate staff. Maintain log on all telephone calls received and two-way radio transmissions when necessary.
  3. Assist patrons when calling in for route information
  4. Maintain effective rapport with general public and handle any problems or concerns in a prompt and courteous manner.
  5. Maintain confidentiality at all times.
  6. Perform the usual office routines and practices associated with a productive office
  7. Maintain appropriate student records as needed.
  8. Compile pertinent data to prepare various required state and local reports.
  9. Prepare correspondence, memorandums, forms, requisitions, and reports for transportation office.
  10. Maintain a schedule of appointments and make arrangements for conferences and interviews.
  11. Maintain accurate dispatch records regarding routes, buses and drivers.
  12. Responsible for notifying drivers, parents, and school personnel of any changes in a student’s bus service such as address change, pickup and/or drop-off locations and time or bus change.
  13. Remain informed of accident response procedures, e.g., dispatch police, ambulance, drug testing agency, notify appropriate personnel and school(s); cover any remaining portion of the route.
  14. Stay current with Department/District policies, operating procedures and guidelines.
  15. Assist supervisors and office staff with filing and other clerical duties when necessary.
  16. Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
  17. Research district policy, precedent, and current practices prior to taking action.
  18. Participate as an effective team member who contributes to district, department, and content goals.
  19. Demonstrate integrity and ethics.
  20. Display proficient levels of technology applications.
  21. Utilize time wisely for effective management of job responsibilities.
  22. Maintain punctuality in daily work times, appointments, and meetings.
  23. Meet task completion deadlines established by supervisor.
  24. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators and co-workers.
  25. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  26. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  27. Perform other duties and accept other responsibilities as assigned.
  28. Assist with student conduct data entry
