    POSITION PURPOSE:
    The Operations Data Specialist plays a pivotal role within the Operations Department by managing and maintaining crucial data systems related to utilities, work orders, and fleet management. This position is responsible for ensuring data accuracy, generating reports and presentations, and supporting the efficient operation of our facilities and vehicle fleet.ESSENTIAL FUNCTIONS:
    • Utility Data Management:
      • Accurately enter utility data into the energy manager software.
      • Maintain up-to-date utility records, including consumption, costs, and associated data points.
      • Monitor data for anomalies or discrepancies and report any issues promptly.
    • Work Order Data Compilation:
      • Compile data from the work order system to create reports and presentations for the Operations Department.
      • Identify trends, opportunities for improvement, and cost-saving initiatives through data analysis.
      • Collaborate with team members to ensure data integrity and completeness.
    • Fleet Data Management:
      • Manage the fleet data management system, ensuring accurate data input and maintenance.
      • Generate regular reports related to vehicle utilization, fuel consumption, maintenance schedules, and costs.
      • Notify vehicle drivers of maintenance schedules and coordinate with relevant service providers.
    • Data Analysis and Reporting:
      • Analyze collected data to identify trends, patterns, and areas for improvement.
      • Generate clear, concise, and visually appealing reports and presentations to aid decision-making.
      • Provide insights and recommendations based on data analysis.
    • Software and System Maintenance:
      • Ensure the smooth operation and functionality of data management software and systems.
      • Collaborate with IT and software providers to address any technical issues or updates.
      • Process Improvement: Participate in the development and implementation of improved data management processes and workflows.
      • Documentation: Create and maintain comprehensive documentation for data management procedures and practices.
    ADDITIONAL DUTIES: Performs other related tasks as assigned by the Facilities Support Manager, Chief Operations Officer, Superintendent or other district office administrator as designated by the Superintendent.
    QUALIFICATIONS:
    • Bachelor’s degree or equivalent experience in a relevant field, such as data science, information management, or a related discipline.
    • Proficiency in data management software and tools.
    • Strong analytical skills with the ability to interpret data and provide actionable insights.
    • Excellent attention to detail and accuracy in data entry and reporting.
    • Effective communication skills, both written and verbal.
    • Ability to work independently and collaboratively within a team.
    • Strong organizational skills with the ability to prioritize and manage multiple tasks.
    EXPERIENCE:
    • At least 2 years of experience in data management or a related role.
    • Proficiency in using data analysis tools and software.
    • Familiarity with utility management and work order systems is a plus.
    • Previous experience in fleet data management is preferred but not required.
