Summary

Reports to the Director of Trauma Services and Trauma Data Coordinator. The Registrar is responsible for entering the data into the Trauma Registry (NTRACS) utilizing E-Coding, AIS scoring, and ICD-9 Coding. The Trauma Registrar is responsible for report writing for the quarterly report cards, performance improvement reports and other reports upon request.

Coordinates the efficient and timely processing of Trauma Registry data by:

  • Entering all collected patient data into the computerized Trauma Registry data system in a manner which meets the requirements (for accuracy, completeness and timeliness) of the American College of Surgeons' Committee on Trauma.
  • Utilizing the AIS and ICD-9 scoring systems with injured patients.
  • Collaborating with other team members to ensure the accuracy of the data, as well as offering input for inclusion/exclusion into registry.
  • Locating eligible patients for entry into the Trauma Registry. Also, reviewing daily print-outs of admitted patients with a trauma-related diagnosis.
  • As needed, re-abstracting core information from patient medical records (including demographic characteristics, history of injuries, diagnostic procedures and treatment); also contacting referring hospitals and EMS agencies for information.
  • Answering requests for data and maintaining the Data Request Log according to established policy and procedures.
  • Retrieving and displaying data collected for trauma-related studies and research projects.
  • Providing timely written reports from the Trauma Registry for performance improvement, Trauma Service report cards, and Trauma Surgeon report cards.
  • Utilizing internal support staff to trouble-shoot and diagnose hardware and software problems. Collaborate with MHSB IS for annual trauma registry update. Keep registry updated to current version
  • Ensuring the confidentiality and security of patient data stored in the Trauma Registry files
  • Aligning with NTDB dictionary to ensure data point knowledge and updates required for ACS level II trauma center requirements and yearly data submissions.
  • Collaborating with Indiana state registry data download requirements; discuss or identify issues with Indiana state level Registrar.
  • Collaborating with the Information Systems department staff to integrate data points from the Hospital system with the Trauma Registry.

Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:

  • Completing other job related assignments and special projects as assigned.

  • Maintains license/certification, registration in good standing throughout fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience
  • The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of an Associate's degree (preferably in medical records terminology, HIS (Health Information system) or a related field). Attainment of certification as a CSTR (Certified Specialist in Trauma Registry) within two years of hire. , CAISS (Certified AIS Specialist), and certification as an Accredited Records Technician (ART) is preferred. Successful completion of N.T.R.A.C.S. (Trauma Registry) training is preferred (or must be successfully completed within the first three months of employment). Successful completion of American Association of Automotive Medicine (AIS-90) training is desired (or must be successfully completed within the first six months of employment). A minimum of one year of related work experience in a medical records office is required or previous registry experience within a health system ie; cancer registry, trauma registry.

Knowledge & Skills

  • Requires a solid understanding of medical terminology, ICD-9 coding systems, anatomy and physiology.
  • Demonstrates the analytical skills to gather and process data, based on predetermined criteria, and identify problems. Also, must be detail oriented.
  • Requires organization skills, the ability to prioritize workload, follow schedules and meet deadlines. Also, must have the ability to work independently and as a member of a team.
  • Demonstrates proficiency in basic computer skills (i.e., data entry, word processing, spreadsheets and presentation software) is desired.
  • Requires solid secretarial/office skills (i.e., telephone, grammar and spelling). Also requires the ability to operate standard office equipment (printers, fax machines, copiers, scanners, etc.) that meet department need.
  • Requires the interpersonal and communication (both verbal and written) skills needed to interact and communicate effectively with a wide variety of people.
  • Requires a solid understanding of the Hospital's policies and practices related to patient confidentiality.

Working Conditions

  • Works in a fast-paced office environment.
  • Some mental/visual fatigue is possible, as there is the constant and careful review of data and data entry.

Physical Demands

  • Requires the physical ability and stamina to perform the essential functions of the position.
