Intake Scheduling Supervisor

About the role:

We are seeking a motivated and experienced individual to join our team as an Intake & Scheduling Supervisor. In this role, you will be responsible for overseeing a team of Intake & Scheduling Specialists, ensuring efficient and accurate intake processes and scheduling procedures.

As an Intake Scheduling Supervisor you will:

  1. Lead and manage a team of Intake & Scheduling Specialists, providing guidance, support, and mentorship.
  2. Develop and implement efficient intake processes and scheduling procedures to optimize workflow and productivity.
  3. Monitor and evaluate team performance, providing feedback and coaching to ensure high-quality service delivery.
  4. Collaborate with other departments to streamline communication and improve overall efficiency.
  5. Handle escalated customer inquiries or issues, resolving them in a timely and satisfactory manner.
  6. Conduct regular performance evaluations and provide ongoing training and development opportunities for team members.
  7. Maintain accurate records and reports related to intake and scheduling activities.
  8. Foster a positive and collaborative work environment that promotes teamwork, innovation, and continuous improvement.
  9. Perform intake scheduling duties such as:
    1. Client Intake: Act as the initial point of contact for clients requesting meeting and event spaces, gathering pertinent information such as event dates, attendance estimates, space requirements, and audiovisual needs.
    2. Qualification and Assessment: Assess client needs and event specifications to determine the most suitable venue spaces, ensuring alignment with capacity, amenities, and budgetary constraints.
    3. Space Scheduling: Coordinate with venue managers and event planners to schedule appropriate spaces for client events, considering availability, room configurations, and logistical considerations.
    4. Event Coordination: Collaborate with internal teams to ensure seamless ownership transfer of scheduled events, communicating event details, requirements, and timelines effectively to all stakeholders.
    5. Client Communication: Maintain ongoing communication with clients throughout the scheduling process, providing updates, addressing inquiries, and confirming booking details to ensure client satisfaction.
    6. Venue Utilization Optimization: Strategically allocate venue spaces to maximize utilization and revenue generation, balancing client needs with operational considerations.
    7. Documentation and Reporting: Maintain accurate records of client interactions, event bookings, and venue utilization data, generating reports as needed to track performance and inform decision-making.

You might also have:

  • Bachelor's degree in Business Administration, Healthcare Administration, or related field (preferred).
  • Proven experience in a supervisory role, preferably in a meetings & events or customer service setting.
  • Strong leadership skills with the ability to motivate and inspire team members.
  • Excellent communication and interpersonal skills, with the ability to effectively interact with staff at all levels.
  • Exceptional organizational and time management abilities, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and experience with scheduling software (e.g., Cvent, Momentus, Ungerboeck (USI)).
  • Ability to thrive in a fast-paced environment and adapt to changing priorities.

You should know:

  • This role is hybrid based in Beaverton, OR
  • Our standard working hours are 8:30 AM -5:30 PM Monday through Friday
  • Covid vaccination might be required for this role.

We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Intake & Scheduling Supervisor is between $65,000 - $75,000 The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
