We cannot consider H2B applicants for our 2024 season Summary: The Sales & Events Administrative Assistant is responsible for communication among the Sales Team, Executive Chef, Director of Restaurants and Events, and culinary operations including Banquets. Position requires candidate to maintain a high level of administrative efficiency and organization. Must interact positively and professionally with a number of managers and departments. Attend weekly BEO meetings
Organize the sales office including communicating a schedule of deliverables from sales team to the resort, inter-resort distribution of information, reader board and other group schedule distribution, coordinating office meetings and activities.
Produce menus for groups, weddings, and family reunions
Produce meeting room signage daily according to daily event schedules
Manage the following for the sales office:
Produce BEO due report every Monday
Ensure guarantees are inputted on time daily
Auditing banquet checks & helping to ensure they are delivered to Accounting in a timely manner
Distribution of BEOs
Ensure accuracy of chef's kitchen board, confirming it has the correct BEOs on the board, with all guarantees and change logs reflected
Edit Menus as assigned
Coordinate conference room availability and schedules for in-house meetings and events
Ordering amenities for group clients
Entering group dining reservations into Open Table
Aid in checking in house events when needed
Performing other duties as assigned
Essential Qualifications and Competencies:
Attention to detail is of the utmost importance
Must be highly motivated with a positive attitude and good work ethic
Will have some knowledge of the food industry
Must have at least 2 years administrative support experience
Minimum of high school diploma
Must be able to adapt to changes in a fast paced, dynamic, and sometimes intense work environment
Must be willing and able to pass a background check
