We are seeking an experienced veterinary receptionist for a FULL-TIME position. The position requires the completion of a high-school degree or further education, competence in the English language, patience, and a pleasant manner. Ideally, newly hired receptionists will possess computer skills and have cashier and related front-office work experience. Pay will reflect the level of experience the candidate has. Candidates with work experience and continuing education in the veterinary field are highly preferred.
Receptionists are customer-relations experts in veterinary practices. They are the client’s first impression of the practice, on the phone or in person. They must possess strong organizational skills, excellent telephone and in-person communication skills, and the ability to remain calm under pressure. Receptionists must have compassion for animals and their owners and understand the stress that patients and clients endure.
Responsibilities are not limited to but will include:
  • Building positive, professional interpersonal relationships with clients and team members.
  • Reporting timely and consistently to all shifts.
  • Providing quality customer service such as greeting customers and answering questions.
  • Answering phone calls and messages, which may involve triage, screening, and scheduling appointments.
  • Differentiating routine cases from emergency cases.
  • Scheduling appointments and surgeries.
  • Entering client, patient, and financial data using the practice’s software.
  • Processing payments, generating invoices, and explaining them to clients.
  • Managing the retrieval and storage of medical records.
  • Handling incoming and outgoing mail, email, PetDesk requests, and Weave messages.
  • Updating and filing patient charts.
  • Entering data into a computerized billing program.
  • Processing credit card payments and preparing bank deposits.
  • Retrieving and preparing prescriptions.
  • Assisting with pet supply purchases such as pet food, supplements, and grooming items.
  • Maintaining the cleanliness of the waiting room.
  • You should expect to spend nearly all your workdays at the front desk.
Benefits and Schedule:
  • Part-time benefits available after a 90-day probationary period include pet care discounts and a uniform allowance.
  • Part-time is typically 2-3 weekday days in conjunction with alternating Saturdays. (Part-time is considered regularly scheduled for 63 hours or less in a bi-weekly payroll period.)
  • Full-time benefits available after a 90-day probationary period include designated paid holidays, 75% health insurance, pet care discounts, and a uniform allowance.
  • Full-time is typically 4 weekday days in conjunction with alternating Saturdays. (Full-time is considered regularly scheduled for 64 hours or more in a bi-weekly payroll period.)
  • Paid time off starts after 1 year of employment.
  • Continuing education is encouraged and supported upon approval.
