Job Summary: The Student Support Coordinator manages and directs all day-to-day operational aspects for the UofL Trover Campus (ULTC) and participates in the long-range planning and development of the program, financial analysis, manages and coordinates student placement, provides analytical and programmatic support to the Associate Dean and Director of Student Affairs. The Coordinator serves as a resource to ULTC students in logistical matters, clerkship issues, etc. Additional responsibilities include assisting faculty with incoming medical clerkship students, ensuring the initial paperwork and other requirements are met; rotation scheduling and providing other support necessary to ensure a quality program.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

1.

Manages all resources and directs students for all student affairs functions such as grade issues, student health, financial aid, course work, scheduling, exam issues.

2.

Manages all aspects of 3rd and 4th year rotations for Family Medicine, Pediatrics, Internal Medicine, OB/GYN, Psychiatry, Neurology, Anesthesiology and any 4th year electives

3.

Administers and manages daily activities of the 8 Trover Campus Clerkships.

4.

Supervise up to 12 3rd year and 12 4th year students with issues such as student leave and attendance, student credit hours/designation of incomplete and remediation; student clinical schedule for track selection/modification; elective selection & changes, BHDM computer access by students.

5.

Schedules all 3rd and 4th year clinical activities, processing student grades, preparation of materials and preparing and proctoring exams, fielding student a faculty phone calls.

6.

Instructs and supervises up to 12 3rd and 12 4th year students on policy and procedures in accordance with UofL School of Medicine and Baptist Health Deaconess Madisonville requirements; i.e. reimbursement, excused absences, BHD policy and procedures, etc.

7.

First point of contact for the Trover Campus Clinical Campus and the University of Louisville faculty, staff and students for all student affairs functions.

8.

Manages all aspects of invoices, supply orders, reimbursements, contract management for clinical campus students and faculty.

9.

Coordinates ULTC and clinical department at UofL for modification of the evaluation process to fit the needs of the ULTC.

10.

Maintains all 3rd and 4th year student records and other secure materials.

11.

Prepares and submits research manuscripts for publication.

12.

Acts as the Assistant Chief Proctor for the National Board of Medical Examiners and follows strict guidelines as set up by NBME when obtaining, securing, administrating and returning the exam to NBME.

13.

Attends all required safety training programs and can describe his/her responsibilities related to general safety, department/service safety, specific job related hazards, and national patient safety goals.

14.

Minimum Education, Experience, Training, and Licensures Required:

Bachelor’s degree in related field or equivalent combination of education or experience required; Preferred 2 years of experience working in or with Clerkship Medical Student programs or medical graduate education programs or graduate education in a medical school or high education environment; Demonstrated proven proficiency with Microsoft applications including Word, Excel and Power Point; Skill working effectively and efficiently with business systems; Demonstrated strong oral and written communication skills;

Ability to verbally communicate information accurately and interact in a courteous and informative manner with faculty, department administrators, residents, students, and other staff; Ability to maintain confidentially of extremely sensitive and confidential patient and employee information; Ability to maintain workflow with changing priorities, frequent interruptions and stressful situations while working with a positive attitude; Ability to review, analyze and summarize data and information, prepare statistical and informational reports; Ability to work independently and follow through on assignments with general direction; Ability to speak in public and present to various groups; Ability to handle difficult and sensitive situations tactfully and responsibility; and ability to maintain strict confidentiality.
