Ball Ventures Affiliated Company is Hiring an Administrative Assistant and Event Coordinator Near Idaho Falls, ID

As an Administrative Assistant and Event Coordinator, you play a pivotal role in fostering a welcoming and efficient environment for all stakeholders. This dual-function position entails providing administrative support to the team while also spearheading the planning and execution of various company events. From document management to orchestrating engaging gatherings, your contributions will be integral to enhancing relationships and organizational success.

Key Responsibilities

Administrative Support:

  • Welcome and assist clients, employees, guests, and vendors with warmth and professionalism.
  • Manage document creation, spreadsheets, and signatures, including notary services as required.
  • Handle bi-weekly mail pick-up, sorting, digitization, and distribution.
  • Maintain vehicle data, registration, titles, insurance, and oversee maintenance reminders.
  • Inventory, ordering, and distribution of office supplies.
  • Conduct property visits and assist with various administrative tasks as needed.

Accounting:

  • Provide timely accounting support including credit card processing, invoicing, billing, and expense management.
  • Process accounts payable for various entities via Bill.com.
  • Manage bank deposits and electronic records of the deposits.
  • Payroll reporting via Clockify for seasonal and hourly employees.

Event Coordination:

  • Plan and organize company events, ensuring creativity and meaningful engagement.
  • Generate innovative ideas for client celebrations, gifts, and gatherings.
  • Coordinate logistics, venue selection, catering, and other event essentials.
  • Manage invitations, RSVPs, and attendee communications.
  • Create welcoming environments for meetings and events, facilitating technology setup and participant comfort.
  • Collaborate with team members to ensure seamless execution of events.

Education and Experience:

  • Higher education degree or relevant certification preferred.
  • Proficiency in Microsoft Office 365, digital meeting platforms (Zoom, Teams, Webex), Bill.com, Salesforce, and Adobe preferred.
