Division/Department: Enrollment Services – Admission

Title: Performing Arts Office Manager

Status: Full-time, non-exempt

Work Schedule: 8:30 am to 5 pm (M-F), includes occasional evenings and
weekends


Job Summary:
Responsible for office functions of the Performing Arts Admission office. The position reports to the Director of Performing Arts Admission and assists in the enrollment of the most qualified music/theatre/dance/art applicants. Pivotal functions include the coordination of prospective student visits; and timely, consistent preparation of data, files, and requirements for auditions; and generating reports.

Essential duties, tasks, and responsibilities: The following outlines the essential functions of the position and is not to be considered a detailed description of all duties inherent in the position.

  • Consistently create, organize, update, and maintain Performing Arts application files.
  • Schedule individual interviews, tours, sample lessons and class visits.
  • Produce applicant, audition scheduling, and other specific reports pertaining to Performing Arts populations.
  • Hire, train and supervise student assistants for essential office duties and programs.
  • Produce Performing Arts decision letters in coordination with the undergraduate admission office.
  • Responsible for data entry and updating of prospective student and applicant information in the Slate and Colleague student information systems, including quality control of music credentials related to Performing Arts admission.
  • Produce correspondence as needed for inquiries and applicants.
  • Maintain office calendar.
  • Collaborate with Performing Arts support staff for space allocation, programs, and operations.
  • Assist in audition programming. Schedule special auditions when approved and monitor receipt and distribution of recorded auditions.
  • Maintain contact information for music/theatre/dance/art directors and private teachers.
  • Manage inventory of some marketing material and recording equipment used in auditions.
  • Other projects and tasks as assigned.

Qualifications:

  • High school diploma and at least 2 years of experience working in an office environment; some college preferred.
  • Experience in an arts environment is preferred.
  • Excellent written and verbal communication skills. Detail-oriented and accurate.
  • Strong internal and external customer service orientation, and commitment to diversity.
  • Strong time management, problem solving, prioritization and organizational skills.
  • Team player and able to multi-task in a fast-paced environment.
  • Highly adaptable to ever-changing technology. Familiarity with student database systems and client relationship management systems (preferably Slate). Proficient in Microsoft Office Suite (experience with Excel and Access a plus.)

Working Conditions and Physical Requirements:

Work is normally performed in a typical interior/office work environment. No or very limited physical effort required. No or very limited exposure to physical risk.
