About this role: Wells Fargo is seeking an Executive Specialist who will be providing high level support to a Senior level executive within Wholesale Operations. In this role, you will: Calendaring – Calendar management/resolution of conflicts; Scheduling meetings, including video and conference calls Strategic Prioritization: Understand the needs of the department leadership as well as business objectives Communication – Interact and act as a liaison with business partners, internal and external staff, and vendors Expenses – Process expense reports according to Wells Fargo policy, route/process invoices, and process check requests Negotiation - Negotiate time on Executive’s calendars based on priorities Manager Proxy – Act as proxy for managers on corporate systems where proxies are allowed Meeting Logistics – Prepare meeting agendas, materials, presentations; Coordinate reservations for meeting space, equipment needs, and catering Presentation Materials – Create, edit, and update brand standard PowerPoint presentations and create visual presentations such as charts and graphs Records Management – Maintain accurate and organized physical and electronic files in accordance with the Records and Information Management Policy Travel – Make travel arrangements, adjustments as needed, create itineraries, and coordinate ground transportation. Participate in less complex administrative duties to one or more members of more experienced management and contribute to the overall effectiveness of team Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals Required Qualifications: 2 years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education Desired Qualifications: 2 years of financial services industry experience 2 years of experience supporting senior level leaders and or executives 2 years of experience planning, managing and changing travel itineraries, international and domestic 2 years of experience in accurately managing expense reimbursement, managing a busy calendar and appointments flawlessly Experience in managing competing priorities i.e., calendar management Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and specifically SharePoint Strong organization and coordination skills, with the ability to be flexible and adjust plans quickly to meet changing business needs Experience utilizing partnering skills in an execution focused and collaborative work environment Experience setting up meetings and utilization of Microsoft Teams (or similar platform experiences) for meeting facilitation Ability to communicate effectively, in both written and verbal formats, with senior executive-level leaders Good judgement with confidential information and proven experience interacting with executive leadership Self-starter, quick-learner and ability to thrive in a fast-paced environment while managing competing priorities Effective problem-solving skills, flexibility and adaptability are needed to prioritize and resolve issues in a timely manner and results driven approach to work Ability to make decisions, prioritize work, report priorities/metrics to senior management, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment Highly professional verbal and written communications Job Expectations: Candidate must be based out of posted location and reside within a reasonable commute to the site location This position is not eligible for Visa sponsorship Relocation assistance not available for this position Position Location: 30 Hudson Yards 500 W.33rd ST, NY, NY 10001 We Value Diversity At Wells Fargo, we believe in diversity, equity and inclusion in the workplace; accordingly, we welcome applications for employment from all qualified candidates, regardless of race, color, gender, national origin, religion, age, sexual orientation, gender identity, gender expression, genetic information, individuals with disabilities, pregnancy, marital status, status as a protected veteran or any other status protected by applicable law.
