Reporting to the Assistant Director, the Specialist will work on creating frameworks for training external Workday users/stakeholders using an online eLearning model. The Training & Communications Specialist will coordinate with customer support and technical application management teams and designated stakeholders to evaluate Workday training and resource needs for ongoing and emergent system changes. In addition, the Training & Communications Specialist will develop, define, update, and maintain timely and accurate training content specific to Workday business processes.The Training & Communications Specialist will also assess training requirements and needs based on assigned projects. Apart from these, the Training & Communications Specialist will assist with internal and external communications, website development, and work within the case management system. We believe in the importance of quality of life, embracing diversity, making a difference, and having fun.Position Complexities: Program Development & Management Coordinate with designated stakeholders to understand business requirements, identify information gaps, and calibrate training content Coordinate with Payroll Director and Assistant Directors to develop and communicate programmatic direction Support the development and execution of training initiatives based on the University needs related to payroll Works with a diverse group of individuals to remove barriers to learning and training Optimizes a robust program using both central and unit resources to achieve goals Support payroll organizational change management and communications efforts Manage high volume workloads by multitasking, coordinating, and communicating with peers and customers Monitor and evaluate the effectiveness of online training courses over time and incorporate improvements Creates innovative strategies using new techniques and technology Leverage engagement opportunities Stays informed about market trends and disseminates best practicesCampus leadership: Collaborate, communicate, and coordinate across the university Balance complex and competing priorities in a deadline driven environment Successfully navigate the complex structure of a central/decentral system at the University Develop timely and accurate training content for distribution to external end-users Build and maintain trusted relationships with internal partners and external partnersDuties & Responsibilities: Create, Update, and Maintain Training Content Collaborate with stakeholders to understand business requirements and identify areas for improvement in training contentDevelop, define, and maintain effective training materials, including frameworks for training external Workday users and stakeholdersEnsure accuracy and validity of training content by working closely with subject matter experts (SMEs)Monitor and evaluate the effectiveness of online training over time and make adjustments as neededContinuously improve training content to meet evolving business needs and ensure optimal learning outcomesCreate, Update, and Maintain Web Content Develop, define, and maintain high-quality web content to meet the needs of the Payroll OfficeCreate web-based tools that align with the guidelines of the Finance, Planning, and Budgeting organizationDesign and develop dependable web-based tools to support the Payroll OfficeDevelop project timelines and milestones and communicate progress with the manager and teamReport work progress against assigned stages and ensure timely completion of projectsPayroll Services Support Assist in managing payroll knowledge by identifying and verifying new additions/changes to the existing knowledge repositoryCoordinate and ensure timely updates/changes to the Payroll Office, UW Connect with UWIT, as necessarySupport communication efforts related to major payroll activities, system enhancements/updates, and known issuesFoster engagement between the Payroll Office and the diverse UW campus communityWork with a diverse group of individuals, placing a value on diversity, equity, and inclusivenessAdministration Ensure training and cross training across on business processes and systemsOther duties as assignedRequirements: Bachelor's degree and 3 years of experience relevant experience. Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for degreeDemonstrated experience in the learning and development or training domains, preferably in a training specialist roleKnowledge regarding training methodologies, best practices, and current trends in the industryProficient in the use of eLearning tools such as Adobe Captivate, Articulate Storyline, and CamtasiaProven ability to communicate effectively with diverse stakeholders, including customers and key process stakeholders.Excellent written and verbal communication skills, with a strong focus on clarity and concisenessExperience using a proactive continual service improvement/iterative approach to meet Payroll process design requirements, assimilating stakeholder feedback, and refining operational frameworks on an ongoing basisDemonstrated experience in working on diverse groups and teams; respects, values, and contributes to FPB and UWs commitment to diversity, inclusion, and equity.Desired: Working experience designing, executing and/or managing relevant HR/Payroll system training at the University of Washington or in a comparable higher education environmentApplication Process: The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
