**Job Overview:**

Fast paced, multi-business location is in immediate need of a highly organized, energetic and outgoing individual to join our staff. This person must be able to multi-task and juggle between business responsibilities. Primary business is an IT firm with various clients that require phone triage, scheduling of service technicians and scheduled monthly maintenance. Coordination of service technicians and fulfillment of client needs is a top priority.

**Duties:**

  • Answer phone calls on all three business lines, triage phone calls for service needs and follow up requirements
  • Schedules and confirms appointments
  • Complete service tickets and assign service technicians to answer client needs
  • Call clients and schedule appointment, monthly preventive maintenance visits, and follow up
  • Utilize workers and resources in the most effective manner
  • Send out reminder emails and call clients to remind of upcoming appointments
  • Follow up with clients to ensure that their needs have been met
  • Follow up with service technicians regarding any outstanding client needs from visits
  • Oversight of hardware needed for onsite visits
  • Coordinate schedules with service technicians, President and Office Manager
  • Greets customers, in person or on the telephone, and answers inquiries
  • Accepts payments for products
  • Update global schedule and maintain weekly short interval schedule, in charge of daily stand up meeting
  • Other duties as

Skills:

  • High school diploma/GED
  • Previous clerical or administrative experience a plus
  • Microsoft Office skills knowledge a must – Word, Excel, Outlook, Publisher
  • Excellent phone manner is essential
  • Advanced communication and organizational skills
  • Basic knowledge of IT terminology desirable
  • Professionalism and confidentiality of business and client info
  • Critical thinking skills – ability to devise plans of actions and assess plans regularly for efficacy
  • Problem-Solving skills – need to be ready when problems arise, or be ready to anticipate problems before they happen
  • Social media and graphic skills highly desired
