As a Project Management Administrative Assistant, you will play a crucial role in supporting project managers and project teams in the successful execution and completion of various projects. Your organizational skills, attention to detail, and ability to multitask will be instrumental in maintaining project schedules, facilitating communication among team members, and ensuring project documentation is up to date.

Responsibilities:

  • Administrative Support:
  • Provide administrative assistance to project managers and project teams, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in the preparation and distribution of project-related materials, including reports, presentations, and meeting agendas.
  • Maintain accurate project documentation, such as project plans, timelines, and progress reports.
  • Communication Facilitation:
  • Serve as a primary point of contact for internal and external stakeholders, relaying messages and requests to the appropriate team members.
  • Coordinate communication among project team members, ensuring everyone is informed of project updates, deadlines, and tasks.
  • Facilitate meetings, take minutes, and distribute action items to ensure follow-up and accountability.
  • Data Management:
  • Maintain project databases and repositories, ensuring all relevant documents, files, and information are organized and easily accessible.
  • Assist in data collection and analysis to support project planning, monitoring, and evaluation.
  • Generate and distribute regular project status reports to stakeholders, highlighting key milestones, risks, and issues.
  • Logistical Support:
  • Assist with logistical arrangements for project-related activities, such as workshops, trainings, and site visits.
  • Coordinate travel arrangements and accommodations for project team members as necessary.
  • Manage inventory and procurement of project supplies and materials.
  • Quality Assurance:
  • Review project deliverables for accuracy, completeness, and adherence to established quality standards.
  • Assist in conducting quality assurance checks on project processes and workflows, identifying areas for improvement and efficiency gains.
  • Support the implementation of best practices and lessons learned to enhance project outcomes.

Requirements:

  • Proven experience in administrative support roles, preferably in a project management environment.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication skills, both written and verbal, with a keen attention to detail.
  • Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
  • Ability to work collaboratively in a team environment and adapt to changing priorities.
  • Knowledge of project management methodologies and principles is a plus.
  • Bachelor’s degree in business administration, project management, or related field preferred.

Pay: $16.50 - $20.00 per hour
