Job Summary:

The Surgery Scheduler at Aventa Specialized Women’s Care is responsible for managing and coordinating all surgical scheduling needs for the clinic. This role involves liaising with patients, medical staff, administrative personnel, and surgery departments to ensure that surgical procedures are scheduled, documented, and executed smoothly.

Responsibilities:

• Patient Coordination:

Schedule surgical procedures for patients in consultation with physicians.Explain pre-operative and post-operative instructions to patients and answer their questions.Ensure patients complete all required pre-operative tests and preparations.

• Documentation and Records:

Maintain accurate and up-to-date records of surgical schedules, patient information, and related documentation.Ensure all necessary authorization and insurance documentation is in place before scheduling surgeries.

• Communication:

Act as a liaison between patients, medical staff, and other clinic personnel to facilitate smooth communication regarding surgery schedules and updates.Communicate any schedule changes or delays to relevant parties in a timely manner.

• Insurance Verification:

Verify insurance coverage for surgical procedures and coordinate with insurance companies to obtain pre-authorization as needed.Assist patients in understanding their insurance coverage and financial responsibilities.

• Equipment and Supplies:

Ensure that the necessary surgical equipment, supplies, and instruments are available for scheduled procedures.Coordinate with the inventory management team to maintain adequate stock levels.

• Compliance and Regulations:

Adhere to all healthcare compliance and regulatory guidelines, including HIPAA regulations, in handling patient information.Stay updated on changes in healthcare regulations related to surgical scheduling.

• Customer Service:

Provide excellent customer service to patients by addressing their concerns, inquiries, and needs professionally and courteously.

• Scheduling Efficiency:

Optimize the scheduling process to maximize clinic resources and minimize patient wait times.Assist in the development of efficient scheduling protocols and workflows.
Qualifications:

• High school diploma or equivalent; some college coursework or healthcare-related certification is a plus.
• Medical office experience is required, such as medical assisting or previous experience in medical scheduling, especially in an OB/GYN or surgical setting.
• Knowledge of medical terminology and surgical procedures.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficiency in using scheduling software and electronic medical records systems.
• Attention to detail and the ability to work accurately under pressure.
