Summary
The Business Processing department ensures that APCO’s contracts pass all eligibility requirements. A close partnership with both our agents in the field and dealership personnel drives success.
The Administrative Client Specialist acts as the front-line team member for greeting and welcoming guests and for ensuring building facility functions are maintained.

Essential Duties and Responsibilities
  • Greet and check in all on-site visitors while ensuring facility security guidelines are followed.
  • Coordinate scheduling of maintenance and repairs for the Norcross building, including but not limited to: HVAC systems, uninterrupted power supply, backup generator, emergency fire systems, landscaping, janitorial, and other necessary repairs.
  • Serves as the company point of contact for reporting of faulty facilities equipment or furniture, including but not limited to: Cubicles, kitchen and coffee station equipment, restroom facilities, office furniture, exercise equipment, and any other building related issues for the Norcross location.
  • Acts as on-site liaison for outside building facility companies, providing information concerning needed maintenance or repairs, building tours, and serving as point of contact for technicians and inspectors.
  • Coordinate the scheduling for building meeting rooms and aid in orchestrating event related snacks and meals.
  • Facilitate the ordering and inventory of office consumables including, but not limited to: Coffee station supplies, office snacks, soaps, paper towels, toilet paper and other supplies as needed.
  • Answer and direct inbound callers on a company multi-line telephone system.
  • Prepare written communications and correspondences as needed.
  • Provide timely and professional responses to all inbound and outgoing inquiries whether verbally or in written communications.
  • Assist in the procurement and distribution of office supplies for various departments as needed.
  • Prepare outgoing mail including but not limited to invoices and checks as needed.
  • Assist Shipping and Fulfillment Lead with managing and arranging outgoing mail and coordinating incoming mail collection as needed.
  • Drive for superior customer experiences.
  • Engage in special projects, process improvements and system enhancements as needed.
  • Assist with other tasks as needed.

Education and Experience
  • High School Diploma or GED Required.
  • Minimum of 1 years’ experience related to the duties and responsibilities specified.
Skills
  • Microsoft Suite experience to include Excel, Word, Outlook required
  • Ability to prepare and maintain routine administrative paperwork and records.
  • Must have strong skills in verbal and written communications.
  • Strong decision-making and critical thinking skills within guidelines of company procedures and the ability to apply principles of logical and scientific thinking to a wide range of problems
  • The ability to pay attention to the minute details of a project or task and to perform work accurately and thoroughly.
  • The ability to demonstrate conduct conforming to a set of values and accepted standards and to engage in productive work relationships with a variety of personalities and individuals.
  • Ability to adapt to shifting priorities and timelines. Must be able to effectively prioritize multiple tasks effectively in a high-pressure deadline driven environment.
Physical Demands
While performing the duties of this job, the employee is regularly required to type and look at a computer screen for lengthy periods of the day. The employee must be able to sit for lengthy periods of time.
