Job Summary

We are seeking a motivated and organized individual to join our team as a Mitigation Assistant Coordinator In this role, you will work closely with the Project Coordinator, Mitigation Director, Client, and Mitigation Staff to ensure smooth project operations.

Your responsibilities will include assisting with project administration activities, coordinating communication with clients and project managers, and providing support in resolving job issues and equipment problems.

Additionally, you will be responsible for data entry, assisting guests in the office, scheduling inspections, and maintaining accurate job files.

Responsibilities

• Assist with coordinating activities with the Project Coordinator, Project Manager, Client, Contractors, and Mitigation Staff.
• Vet incoming new client calls and coordinate communication with Project Managers.
• Assist in the resolution of job issues, change requests, and staff, site, and equipment problems.
• Assist with all project administration activities including staffing, scheduling, assigning crews, timekeeping review, purchase orders, and safety reporting.
• Entering information into the software, data entry
• Assist guests in the office
• Set up inspections with homeowners
• Monitor job files from beginning to end for accuracy
• Coordinate the employee of the month meeting and track Spin to Win Points
• Manage the vendor list and keep it updated
• Have interactions with insurance companies to gather claim information
• Process payments as needed
• Assists with vehicle maintenance, scheduling service as needed
• Assists with incoming shipments and ordering office supplies
• Responsible for forwarding and un-forwarding phone lines daily
• Sending appropriate documentation to customers, vendors, and insurance adjusters

Qualifications

• Restoration experience is preferred
• Strong management, delegation, time management, planning, and leadership skills
• Excellent oral and written communication, a keen eye for detail
• Ability to work independently and multitask in a busy environment
• High level of sound and independent judgment and reasoning
• Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment
• Ability to always deal with people empathetically and professionally
• Strong working knowledge of technology / computers
• Flexible availability to accommodate rotating on-call schedule
