Job Summary

Works with hiring managers and recruiters to facilitate the recruiting process. Responsible for assisting with posting positions, screening of candidates, document completion, onboarding, and other hiring processes. Provides additional administrative support to HR processes.

Responsibilities

1. Reviews positions posted on the applicant tracking system site by hiring managers to ensure accuracy and completeness. Sets up the approval chain
2. Initiates background checks, document submission and other screening activities
3. Communicates with candidates and hiring managers to facilitate the completion of pre-hire tasks
4. Updates information in applicant tracking system (ATS)
5. Manages the final stages of the recruitment life-cycle process which includes finalizing offer letters, preparing offer packets, closing candidate records within applicant tracking system and onboarding of new employees on their first day
6. Prepares virtual files for entry into the employee database
7. Assists with onboarding activities
8. Supports career fairs and other sourcing efforts
9. Work with Faculty Affairs with processing and onboarding new faculty hires and any position changes
10. Assist HR Generalists with processing student hires and background checks
11. Coordinates the process of securing access badges for registered visitors, as assigned
12. Recommends process improvements
13. Trains new staff members
14. Helps with recruiting projects and HR initiatives as needed

Required Qualifications

Educational Requirements
High school diploma or equivalent
Required Experience
Two (2) years prior work experience in an office setting

Preferred Qualifications

Additional Preferred Qualifications
Experience in a fast paced recruiting department highly desired.
Experience in higher education setting preferred

Able to work with a variety of people, possessing tact, discretion and diplomacy
Able to handle multiple tasks or projects at one time meeting assigned deadlines
Able to maintain confidentiality throughout the hiring process
SKILLS
Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills
Proficient with computer applications and programs associated with the position (i.e. Microsoft Office suite)
Analytic skills and ability to make decisions or recommendations as appropriate
Strong attention to detail and follow up skills
Strong customer service skills and phone and e-mail etiquette
