Taskforce Conference and Event Manager is to function as the remote client liaison with the property operations team to execute events by detailing group and events sales bookings that maximize revenues and create up-sell opportunities.
This role is 100% remote
Conference Service:
- Complete, review, and distribute Banquet Event Orders (BEOs), diagrams and resumes and participate in meetings as needed;
- Offer upgrade options to the client, collect the contracted deposit(s) and obtain their client’s signature(s) on the BEOs;
- Communicate group details and changes to all property departments. Coordinate the client’s needs and activities to ensure client’s expectations are met, and the property operates efficiently;
- In collaboration with the General Manager and Director, Sales & Marketing, conduct remote pre-conference and post-conference meetings with client and property staff as needed;
- Monitor guest room block and blocked event space to ensure group is meeting their contractual obligations. Initiate release of unused guestrooms and event space on cut-off date to allow re-sale of these rooms;
- Communicate with the client if there is a risk of attrition charges due to low pickup or lack of food and beverage revenue;
- Oversee and administer the payment process to include securing payment of invoices and ensuring the accuracy of the entire process as it relates to clients’ payment as stipulated in the sales contract;
- Maintain booking activities in property’s sales & catering software system to include documenting accurate communication between the client, hotel staff, and the accounting department;
- Coordinate site tours, teams/zoom detailing meetings and tastings with clients and property’s operations team remotely, ensuring excellent communication to ensure a success client interaction for on property teams.
- Ensure group clients can make reservations and count on the property for accurate and timely billing;
- Provide reporting assistance, menu, system auditing and data entry;
- Conduct system audits to ensure proper utilization and netting and claiming in F&B forecasting;
Taskforce:
- Serve in a temporary capacity due to the absence of a property’s Conference Service Manager or multiple events occurrences with limited property resources;
- Assist with onboarding and training of property sales team as well as mentoring sessions to include tracking, needs assessments, recommending action plan;
- Facilitate virtual and/or live role plays to provide feedback and coaching with new property sales team to include but not limited to the Director of Sales & Marketing, Director of Events, Conference Service Manager, Sales Manager, Catering Sales Manager, and Sales Coordinators;
- Develop and maintain learning resources for onboarding, mentoring, and learning and development forums to educate and update the property sales team to include creating project boards, communication tools, presentations, and documentation; and
- Any and all other work as required to complete the primary purpose of the position.
Qualifications:
Required Prior Experience:
5 year of event sales experience or hotel event services, banquet, group sales
Preferred Prior Experience:
Prior experience with the group, and/or social Event market segments
Prior training experience
Required Education:
High school diploma or equivalent
Preferred Education:
Bachelor’s degree in Business
Administration, Sales & Marketing, Hotel and Restaurant Management, or related major
Preferred Licenses/ Certification:
Certified Meeting Professional (CMP)
Required Technology:
Proficient in Microsoft Office
Preferred Technology: Demonstrated experience with industry specific sales and catering programs including Delphi.fdc, and/or CI/TY, particularly in detailing Banquet Event Orders (BEOs), diagramming software such as Social Tables
Travel:
Up to 25 % travel
Must possess a valid driver’s license and reliable transportation and the ability to be available at off property meetings and events with minimal notice
Physical:
Up to 8 hours sitting at a desk and computer work
Other:
Excellent written and oral communication skills.
