Atlantic Dental Group is Hiring a Dental Treatment Coordinator Near Wilmington, NC

Job Listing:

We are seeking a highly motivated and organized individual to join our team as a Patient Services and Treatment Coordinator.

The successful candidate will be a team player who is passionate about providing exceptional customer service and creating a lasting, positive impression for each patient, both in person and over the telephone. This role will work collaboratively with the entire office team to deliver superior five-star level service to all patients.

The primary responsibilities of the Patient Services Coordinator will be to manage patient scheduling and coordinate both treatment and payment, while taking into consideration the physician's production goals and the overall office schedule. This position will play a pivotal role in ensuring a smooth patient flow throughout the office and in fostering a safe, pleasant, and harmonious environment for staff, physicians, and patients.

Responsibilities and Duties:

  • Prioritize creating a five-star service and experience for the patient, whether in person or via telephone.
  • Ensure all phone calls are answered according to established procedures and follow up on patient messages as well as unscheduled treatment promptly.
  • Master the use of the computer scheduling system (EagleSoft) and any relevant patient marketing and communication systems.
  • Develop and maintain doctor and hygienist schedules to meet practice goals and review the schedule daily to ensure compliance with the template.
  • Prepare and confirm patients for scheduled appointments to minimize cancellations and no-shows.
  • Confirm and update patient information, including personal data, insurance information, doctor preference, and other necessary required information.
  • Review patient estimates and prepare financial arrangements with patients before treatment.
  • Continually and positively greet patients in a manner that builds rapport.
  • Manage unscheduled lists and pending treatment lists to ensure patient follow-through.
  • Work with the clinical team to achieve seamless handoffs with clear communication.
  • Collect any fees for which the patient is responsible, complete the checkout process accurately, and ensure the next appointment is scheduled before leaving.
  • Create daily, weekly, and monthly reports as needed.
  • Help run morning huddles with the doctor team.
  • Follow HIPAA guidelines.
  • This position will cross-train in the following additional Patient Services areas: Reception, Patient Billing, and Insurance filing.

Scheduling:

The Practice is open for business from 8:00 am to 5:00 pm Monday through Thursday and 8:00 am to 12:00 pm on occasional Friday’s. The normal work schedule varies depending on position and responsibilities. The Patient Services Coordinator work schedule is as follows:

  • Schedulers are directly accountable to the Practice Administrator and, on an as-needed basis, to the Doctor.

Job Type: Full-time

Pay: $15.00 - $23.00 per hour

Expected hours: 32 per week
