Reporting to the Manager of Membership & Marketing, the Membership & Communications Specialist will:

Membership Department:

  1. Update and maintain membership database to ensure accurate data and to extract membership data from systems; initiate membership renewal and certification fee invoices; update forms
  2. Run monthly membership reports
  3. Support membership recruitment and retention efforts; provides membership info to prospective members
  4. Send out Letters of Good Standing as requested
  5. Process new member applications in a timely manner
  6. Track corporate partnerships
  7. Provide exceptional customer service to current and prospective members. Fulfill member requests in a timely and accurate manner
  8. Process warning letters, drops, resignations and terminating members upon non-renewal. Communicates termination with REBs
  9. Maintain deceased member list and provide information to staff for Memorial Service
  10. Coordinate Special Interest Groups (SIGS) meetings

Communications Department

  1. Assist in pulling membership lists for email campaigns
  2. Assist in developing member email campaigns
  3. Proofread content
  4. Support and schedule Zoom meetings as call facilitator as needed

Conference/Events Department:

  1. May be asked to attend APC events including Annual Conference in support role (out-of-state travel may be required)
  2. Assist in registration booth, Exhibit Hall, support workshops and other events
  3. Assist in directing attendees to event locations
  4. Provide top-level customer service to attendees

General Office Duties:

  1. Answer phones/emails and respond accordingly or forward to appropriate party
  2. Scan/Copy as needed
  3. Assist all the team members with fulfillment of their job responsibilities
  4. Assist with preparing for APC conference as needed
  5. Assist with phone coverage
  6. Other duties as assigned

Qualifications:

  • Excellent written and oral communication skills
  • Demonstrate competence in necessary MS Office suite applications
  • Demonstrate excellent organizational skills
  • Demonstrate excellent customer service skills
  • Experience with non-profit organizations and/or Associations preferred
  • Experience with database/AMS/LMS/WordPress highly desirable

The Association of Professional Chaplains is located at 2800 W. Higgins Road, Hoffman Estates, IL.
