Job Overview:
General: A Permit Coordinator/PM Admin is responsible for managing the process of obtaining permits, working
with project management and 3rd party vendors to ensure all projects adhere to local sign ordinances. This
position will include assisting project management with site plans needed for permitting – including, but not
limited to, indicating sign locations and setbacks, sight distance triangles and, when necessary, consulting with
clients in order to illustrate basic landscaping on site plans. Additionally, this role will include support for the
Director of Operations such as preliminary contract administration (where projects are contract-based), assisting
with management of projects currently underway, and collecting and analyzing feedback from customers (via
online survey) to gauge satisfaction and success.
Specifics:
- Ensure all permits are issued in a timely manner while maintaining compliance with regulatory
requirements.
- Reviewing permit documents for completeness prior to submitting to a municipality to avoid delays.
- Add municipal contacts in i2 the sales and project management teams can rely on when there are
questions related to permitting.
- Submit permit packages and payments via online portals, mail, or in person, if necessary
- Track the status of permit packages and provide updates to project management.
- Upload all approved permit documentation in i2 and create/update purchase orders to reflect final fees.
- Call in inspections when all trades have completed scope related to signage (footing, electrical rough-in,
electrical final, sign final, etc.).
- Consult with & assist project management on site plan requirements, including illustrating sign location,
setbacks, sight distance triangles, and basic landscaping.
- Preliminary contract administration: establishing portal login for Accounting (if one doesn’t exist), obtain
a copy of the contractor’s pay app, identify/confirm terms of payment, due date for pay apps, retainage,
obtain and upload in i2 any documentation required when pay apps are submitted, and verify the GC’s
schedule of values matches scope of work.
- Assist / project manage orders currently in progress, as needed.
- Email online survey to select customers after project completion.
Duties:
- Manage and lead engineering projects, ensuring they are completed on time and within budget
- Collaborate with cross-functional teams, including engineers, designers, and technicians, to define project scope and objectives
- Develop project plans, including timelines, milestones, and resource allocation
- Monitor project progress and provide regular updates to stakeholders
- Ensure compliance with regulatory requirements, such as OSHA and FDA regulations
- Conduct risk assessments and implement mitigation strategies
- Coordinate with external vendors and suppliers as needed
- Oversee the development of engineering documentation, including reports and technical specifications
- Foster a culture of safety and adherence to public health guidelines
Experience:
- Bachelor's degree in Engineering or a related field
- Proven experience in program management within an engineering environment
- Strong knowledge of regulatory reporting requirements, such as FDA regulations
- Familiarity with compliance management and building codes
- Excellent communication skills, both written and verbal
- Strong analytical and problem-solving abilities
- Ability to work effectively in a fast-paced, deadline-driven environment
