The Position

The Specialist, People Services & Culture plays a leading role in shaping employee experiences on-site, performing daily administrative operations to support site amenities and business continuity. They perform a variety of clerical, event coordination, administrative and communication duties on a routine and ad hoc basis. This role will be based at our Madison, WI site.

Responsibilities

  • Provide administrative support to Arrowhead's Madison, WI site, including scheduling meetings, assisting visitors, and coordinating meeting logistics on-site or externally
  • Plan events which may include identifying vendors, coordinating event logistics and managing payment reconciliation
  • Coordinate and support business activities including luncheons, conference registrations, employee recognition or similar events
  • Manage office supplies and breakroom inventory; Order items, manage backstock and storage as necessary
  • Maintain office area aesthetics and appearance
  • Answer the site main phone line, direct calls and take messages
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Follow office policies and procedures, and provide procedural guidance to other employees
  • Update office maps and prepare office spaces as needed for team members
  • Identify opportunities for process and office management improvements, and design and support implementation of new systems
  • Update internal intranet and document folders as needed
  • Perform other duties as assigned, including but not limited to running errands for the site, completing ad hoc clerical assignments for other departments, or providing executive admin support as requested

Requirements:

  • Associate's Degree
  • Minimum five years of experience in an administrative or office management role
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient computer skills and experience with Microsoft Office Suite
  • Proven customer service skills
  • Excellent organizational skills and attention to detail
  • Ability to work independently
  • Experience coordinating events from start to finish

Preferred:

  • Bachelor's Degree
  • Prior experience in a Biotech or Lab setting
Wisconsin pay range
$55,000—$70,000 USD
