Description

OVERALL FUNCTIONS

This role consults with and assists Ownership, Executive Vice President, and Area Property Manager on maintenance and capital improvement projects for Heller residential communities. The position involves frequent travel and serves as a maintenance expert for Heller residential communities. Responsibilities include hands-on maintenance, acting as a "team leader, assuming maintenance duties, when necessary, oversight of capital projects, involved in all facets of hiring new maintenance associates. The Regional Manager Facilities & Training plays a crucial role in developing training and safety protocols for new and existing maintenance associates. This multifaceted role requires a versatile approach to address diverse maintenance challenges and contribute to the overall well-being of Heller residential communities.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES

  • On-call for emergencies.
  • Maintain open communication with Area Manager, Community Manager, and other community staff.
  • Develop and review job specifications for contract maintenance services, seeking appropriate contractors/service providers.
  • Evaluate maintenance contracts, make recommendations, and develop contracts for capital improvements.
  • Supervise contractors to ensure work meets specifications.
  • Oversee special projects for Heller residential communities.
  • Monitor general physical condition of communities; meet with Ownership, Area Manager and/or Executive Vice president to establish and maintain set standards.
  • Conduct various maintenance functions, including but not limited to electrical installations, pool maintenance, carpentry, plumbing, HVAC, appliances, drywall, painting, etc.
  • Develop, implement, and oversee central purchasing programs for Heller residential communities.
  • Assist in due diligence for potential residential real estate purchases.
  • Assist with on-site maintenance as needed.
  • Conduct periodic on-site maintenance audits of all Heller residential communities.
    • Analyze property conditions and maintenance operations and make appropriate recommendations.
  • Coordinate training for newly hired Service Managers and ensure adequate training of all maintenance associates.
  • Ensure performance of maintenance associates aligns with Arlington Properties Policies, Procedures and Standards.
  • Perform preventative maintenance functions, ensure proper record keeping, and monitor the upkeep of mechanical equipment.
  • Review and approve completed contracted work and invoices for capital projects and projects as assigned.
  • Understand and adhere to budget; assist in developing property budgets relative to maintenance expenses.
  • Review maintenance categories of quarterly financial statements and work with Area Manager and EVP to identify possibilities to improve financial performance.
  • Monitor competitive bid process for all service contracts to ensure quality work at the best price.
  • Implement and support safe work practices and proper equipment use.
  • Participate in safety duties, including consulting on maintenance facilities' design and safety programs.
  • Work with Human Resources (HR) to develop general safety policies and procedures and to be followed by company and personnel in compliance with local, state, and federal Occupational Safety and Health Administration (OSHA) rules and regulations.
  • Work with HR and worker’s compensation carrier to investigate accidents and injuries as well as prepare material for use in hearings, lawsuits, and/or insurance investigations.
  • Prepare and conduct quarterly service meetings.
  • Manage full unit turn projects, overseeing renovations of apartment units to include but not limited to:
    • Supervise projects to ensure quality standards and control are met.
    • Ensure completion within established scope, budgets & timelines.
    • Prepare renovation guide for each applicable project.
    • Review Unit Availability Report and conduct weekly status meetings with community managers, contractors, and lead maintenance.
    • Complete weekly Unit Status Reports.
    • Track all renovation dollars spent via Unit Turn Tracking Sheets.
    • Coordinate unit turns with team, vendors, and contractors.
    • Provide onsite staff with contractor punch list.
    • Coordinate material purchasing; may require coordinating multiple sources to manage costs.
    • Work with Area Manager, Ownership, and Executive Vice President to determine material selection.
    • May be responsible for occasional pick-up and delivery materials to property as needed.
    • Responsible for bulk ordering and management of inventory on new sites.
    • Removal of building materials via dumpster or sale to other sites or donate to charity organizations.
  • Must be able to work in a cooperative, respectful and professional manner.
  • Work professionally, efficiently, and effectively under deadlines and productivity standards.
  • Must be regular and predictable in attendance.
  • Always represent the Company in a professional manner. Consistently maintains a professional, courteous attitude when dealing with residents, co-workers, and the public.

Qualifications


JOB QUALIFICATION REQUIREMENTS

Knowledge/Experience:

High school diploma plus certificates in maintenance-related skills. Appropriate experience in related fields. Must have five (5) years of Property Management experience as a Service Supervisor. Must be HVAC certified and have a valid driver’s license. CMT or similar designation is preferable.

Communication & Interpersonal Skills:

Excellent verbal and written communication skills are required. Excellent ability to establish and maintain strong working relationships with multiple contractors, material suppliers, and onsite team.

Mathematical Skills:

Able to perform essential mathematical functions with an ability to read and interpret financial statements.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Equipment and Software:

General working knowledge of Yardi and MS Office software, including Word, Excel, Outlook, and PowerPoint.

PHYSICAL AND VISUAL ACTIVITIES

Ability to interpret, evaluate and communicate detailed written or verbal instructions to others accurately and quickly. Medium to heavy work requiring prolonged or repeated standing, walking, climbing, stooping, kneeling, crouching, pushing, pulling, and lifting to a maximum of 100 pounds, with frequent lifting and carrying of up to 50 pounds. Good eye/hand coordination is essential. Color perception, the ability to differentiate colors in terms of hue, and the ability to identify a particular color or color combination from memory is required. Must be able to lift and work heavy equipment and utilize a ladder as required.

WORKING ENVIRONMENT

While performing the duties of this job, the associate may be exposed to outside weather conditions. The noise level in the work environment is usually moderate. It also includes an office environment with computer use (50% Office/50% Other).
