The W. P. Carey School of Business is hiring for Graduate Programs Student Services Support Coordinator to coordinate graduate business programs including event and program management, daily operations and student retention strategies under the direction and guidance of the Associate Director.
You will join a high-performing team of professionals in a position that cultivates the development, implementation, and evaluation of support services and events designed to ensure student academic success and engagement. This role specifically supports the Executive MBA program as well as the EGADE - W. P. Carey MBA, a unique international partnership with Mexico City’s Tecnologico de Monterrey Business School. Although partially delivered in Mexico City, support is based in Tempe, AZ.
It requires someone who can demonstrate a level of high quality detailed work and a professional presence. The Coordinator must be aware of and responsive to, students' needs and concerns in a service-oriented work environment with an elevated level of professional communication and confidentiality. This position is part of the larger Program Operations team working together to provide the best customer service necessary to build and maintain strong relations with graduate students and internal customers. The primary responsibilities of this position include graduate student support, faculty support, large and small-scale event coordination, travel planning and on ground support, and execution of communications and daily operations of the academic program(s).
With a flexible schedule to meet your work/life balance needs and those of your program, including a hybrid remote option schedule, the Executive MBA Coordinator is responsible for executing program strategies, advising domestic and international graduate business students, tracking academic progress, understanding academic schedules, faculty support, processing expenses and disbursements in accordance with the program budget, event execution, and project management. The Coordinator is expected to work one to two Saturdays each month, with some international and domestic travel also required.

Essential Duties

The Coordinator has the following major responsibilities for the W. P. Carey MBA programs, which may require occasional extended work hours, including evenings and/or weekends as needed, and travel.
  • Facilitates the student registration process.
  • Ensures graduation paperwork is processed for students.
  • Coordinates activities related to academic progress such as academic probation, out-of synch/off-track students, withdrawals, and other student enrollment adjustments. Counsels and confers with students providing academic advising, problem solving and resolution.
  • Interprets and enforces program and university policies and procedures. Serves as an information resource for student services and affairs within the college and ASU.
  • Coordinates textbook and ordering materials in collaboration with other coordinators, academic units, accounting, and vendors.
  • Coordinates international travel arrangements and other necessary logistics in collaboration with our Global Education Office, with the opportunity to travel as support staff.
  • Works collaboratively with other departments and university offices to ensure business needs are met.
  • Provides assistance and information to faculty, staff and outside organizations regarding function/program.
  • Coordinates and maintains data for tracking and reporting purposes.
  • Coordinates new student orientation programming.
  • Oversees the coordination and implements student events for assigned programs.
  • Conducts in-class announcements and office hours.
  • Adheres to program budgets by managing program expenditures and requests, preparing disbursement requests, proposals, and approvals, where appropriate.
  • Creates, documents, and maintains student service processes and procedures.
  • Supports faculty in classroom environment
  • Represents the WPC Program Operations team and serves on various department and university committees.
  • Assist in planning and coordinating travel logistics for two required programs, ensuring all arrangements align with program schedules and requirements.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment and three years of related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Evidence of a Master’s Degree in education, business, or a related field
  • Experience within a higher education environment in the following areas: student advising; business and curriculum processes; student engagement activities
  • Experience in written and verbal communication skills with high-level professionals and executives
  • Bilingual: English/Spanish speaking a plus, but not required
  • Experience in delivering presentations in a group setting
  • Experience in work that requires attention to detail and exposure to confidential records Experience with Microsoft Office applications (i.e., Outlook, Word, Excel, Access, PowerPoint)
  • Demonstrated knowledge of student information systems (Peoplesoft); online e-Education platform (Canvas)
  • Experience with basic project management
  • Experience composing, editing and proofreading written materials

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
  • Required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require the ability to quickly change priorities, which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals
