The Court of Appeals, Division Two, is currently accepting applications for a Deputy Clerk position available within the Office of the Clerk. Additional minimum qualifications are listed in the job description.
Position Summary:
Under supervision, the deputy clerk will perform clerical, procedural, and legal process support activities in the Office of the Clerk; performs additional work duties as assigned.
Job Duties:
Upon completion of training, the deputy clerk should be fully competent to independently perform the full range of duties as described below:
· Prioritize and analyze incoming court documents and materials for compliance with the Rules of Court, appellate court procedures, and local rules.
· Determine appropriate codes and file documents into a case management system; examines and routes documents to the appropriate party.
· Evaluate, draft, and issue detailed and complex court orders, letters, etc.; review and file opinions; may collaborate with legal staff in preparation of complex court orders and letters.
· Monitor, communicate, and coordinate with trial courts, counsel, and self-represented litigants on overdue documents and records; prepare and send out default notices and other notices relating to cases.
· Answer inquiries from court staff, the public, attorneys, and other courts regarding cases, and other procedural and legal processing issues.
· May assist in preparing oral argument calendar.
· Manage active court files in a document management system.
· Manage financial transactions for case filings.
Minimum Education and Experience Requirements:
· Office and court clerical practices, including filing and the operation of office equipment and multi-line telephone systems; proficiency with multi-function copier-scanners.
· Proficiency with Windows 11 as well as Microsoft Office, particularly Word and Outlook; proficiency with Edge and Firefox web browsers. (A skills test will be administered during the interview to assess capabilities.)
· Ability to become skilled with, adapt to, document and organize knowledge of novel computer applications, such as case management systems, document management systems, and e-filing systems.
· Record keeping principles and practices.
· Customer service principles and practices.
· Business English and exceptional attention to detail, including composition, spelling, grammar, punctuation, and professional telephone etiquette.
Typical Work Environment and Environmental Factors:
This is a relatively standard office position that is characterized as highly structured and organized in accordance with the Judicial Code of Conduct and well-defined court rules. A typical workday will include time being spent sitting in the office using a computer or other work devices and attending in-person or virtual meetings with court staff. Persons in this position will generally experience a quiet work environment, but may experience noise working in an open workspace setting.
