Arctic Slope Native Association is Hiring a Nutrition Services Administrative Assistant Near Utqiagvik, AK

Brief Summary:

  • The Nutrition Services Administrative Assistant will perform a wide range of administrative and support functions for the Nutrition Services Department at the Samuel Simmonds Memorial Hospital.
  • Work directly with the Food Service Manager.
  • Primarily responsible for data entry into our Dietary Food Management Diet Office Management System.
  • Also perform typical Office and paperwork support such as typing, filing, deposits, payroll, ordering supplies, scheduling, reporting, and completing electronic forms.
  • Utilize several proprietary software’s such as DFM, Maximo, Concur, Quatro’s, and others.

Qualifications:

  • Excellent verbal and written communication skills and the ability to interact effectively at all levels
  • Must have English language fluency, both written and verbal

Education & Experience

  • High school diploma or general education degree (GED).
  • Bachelor of Science in Information System preferred.
  • Two years minimum experience as an administrative assistant or office manager preferred.

Certification/Licensure

  • Obtain Alaska Food Worker Card, within (6) six months of hire.

Essential Job Functions

  • Enter manufacturer’s product nutrition information into DFM’s nutrient database.
  • Enter ingredients and create recipes in DFM’s nutrient database.
  • Obtain correct nutrient composition of each recipe.
  • Enter/Create/Update patient menus by diet type.
  • Ensure patient diet orders are interfacing properly with DFM & EHR.
  • Print tray cards for every meal.
  • Continually update DFM database so it is current.
  • Enter patient selection manually if needed.
  • Update patient cardex in DFM.
  • Communicate with DFM, ASNA Tech Support, and SSMH Medical Staff frequently.
  • Perform basic office and paperwork support such as typing, filing, payroll, ordering supplies, scheduling, reporting, and completing electronic forms.
  • Utilize several proprietary software’s such as DFM, Maximo, Concur, Quatro’s, and others.
  • Utilizes Maximo work order software to create work orders, change status, chronicle compliance issues, and other. Continually work in Maximo to organize it to be able to correctly perform documentation and to help keep documentation current.
  • Participates in any regulatory inspection from various agencies such as FDA, Environmental Protection, Utility authorities and Fire Department, OSHA, The Joint Commission, CMS and others.
  • Maintains safe and clean working environment by enforcing procedures, rules, and regulations.
  • Performs other related duties as required and/or assigned.
