POSITION SUMMARY
The Leave of Absence/Wellness Administrator performs a wide variety of administrative, education, data/record keeping, and compliance duties related to Archdiocesan leave of absence, workers’ compensation, OSHA, COVID and wellness. Must be familiar with leave of absence, ADA, OSHA, CDC and wellness regulations, documentation, administration, state disability programs, partnering with health insurance representatives to develop and implement wellness programs. The Leave of Absence/Wellness Administrator takes a pro-active approach in addressing issues and questions from Archdiocese Catholic Center (ACC) staff regarding leave of absence laws, policies, and practices as well as motivating staff to be active participants in mental and physical health programs.
ESSENTIAL FUNCTIONS
Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
  • Expertise on Archdiocese Leave of Absence policies, Federal, and State and local laws.
  • Educate ACC employees regarding leave of absence benefits and eligibility.
  • Provide information and educational materials regarding leave of absence eligibility and forms.
  • Educate ACC employees regarding paying employee medical insurance premiums while on leave as well as utilizing the option to supplement state short term disability or paid family leave benefits with accrued, unused sick or vacation days.
  • Educate employees on how to better utilize health benefits and become a partner in their health care.
  • Act as Liaison between employees and COVID Team and Insurance Department
  • Keep current with CDC, Workers’ Compensation, FMLA, ADA best practices and regulations and ensure compliance with all Federal, State, or local requirements.
  • Communicate verbally and in writing with employees regarding leave of absence requests, leave extension requests or general questions.
  • Conduct workshop for supervisors on topics such as: FMLA, ADA, Workers’ Compensation, Interactive Process, and accommodations in English and Spanish.
  • Maintains weekly, monthly, quarterly, or yearly reports of leave of absence requests, utilization and extensions and reviews the reports to advise employees of intent to return. Track utilization of leave of absence overall.
  • Accurately calculate all leave taken and accrued in accordance with Fair Labor Standards act. Properly initiate personnel actions for employees on leave without pay.
  • Maintain and update related medical files for ACC employees.
  • Act as point of contact for employees and respond to general questions and refer to Insurance Department as needed.
  • Respond to reports of employee injuries and refer employee to Insurance Department.
  • Maintains confidentiality of employee’s injury.
  • Develop and administer needs assessments or surveys to determine interest in, or satisfaction with, wellness programs, events, or services.
  • Partner with health benefits representatives to develop, implement, market, and grow participation in wellness programs, events, or services.
  • Responsible for the effective delivery, evaluation, promotion, and reporting of innovative and traditional wellness programs
  • Develop, administer, collect, monitor, report data, make recommendations and analyze program use information to identify trends to improve wellness programs or make necessary changes
  • Conduct New Hire Orientation regarding health insurance, supplemental, retirement plan, Workers’ Compensation, and time off benefits.
  • Process EDD unemployment and disability forms
  • Review all paperwork for accuracy and completeness.
  • Accurately type, proofread, and correct letters, forms, and other personnel related documents.
  • Properly responds to all inquiries and requests for information in a courteous and timely manner.
  • Other duties and responsibilities as assigned.
MINIMUM QUALIFICATIONS
Education and Experience
Any combination of education and experience likely to provide the required knowledge,
skills, and abilities, typically:
  • Active member of a Roman Catholic faith community.
  • 2 -3 years related experience.
  • Bachelor’s degree in related field
  • Public speaking/Training in English and Spanish
Knowledge, Skills, and Abilities
Knowledge of:
  • Leave of Absence and Workers’ Compensation laws, procedures, and policies.
  • CDC and OSHA regulations
  • Marketing and Development
  • Proficient with Microsoft Office, Office 360, Excel, or similar software.
Skill in:
  • Strong interpersonal, leadership and motivating skills
  • Developing and conducting training via virtual or classroom settings
  • Short- and long-range planning.
  • Analyzing data and developing meaningful reports.
  • Proficient written and verbal communication.
  • Bilingual Skills (English and Spanish) preferred
Ability to:
  • Organize, manage, and evaluate group activity programs.
  • Independently interpret and apply various policies and procedures.
  • Plan, organize, supervise, and direct the operations of multiple programs.
  • Maintain confidentiality, act with discretion.
  • Communicate with others in a respectful, patient, courteous and clear manner.
  • Develop and maintain effective working relationships both internally and externally.
  • Use independent judgment and initiative.
Physical and Environmental Requirements:
  • Occasionally lift up to 20 pounds.
  • Sit for sustained periods of time on a daily basis.
  • Perform tasks requiring intermittent walking, bending, stooping, reaching above at or below shoulder level, twisting, grasping, pushing or pulling.
  • Operate standard computer and office equipment.
  • Exposure to office level noise and temperatures
