Job Description

The onsite Group Reservations Coordinator is responsible for organizing and confirming all group reservations at Zephyr Cove Resort, working with the Dixie, marina and snowmobile teams to execute all contracted services, and prepare paperwork and key packets for group arrivals. The Coordinator serves as the liaison between the Sales & Inventory department and the onsite Front Desk and Operations departments.

Job Responsibilities

Essential Functions:

• Develop knowledge of SMS reservation and Delphi contract systems
• Serve as liaison between groups and the Zephyr Cove leadership team.
• Work with the Zephyr Cove management team to update groups, private charters, and activities
• Prepare contracts and packets and all necessary documentation for group arrivals
• Confirm group services with Department Heads prior to group arrival
• Confirm deposits and full payments are processed on time and prior to services being provided
• Complete other tasks as assigned.

Status and Scope:

• Reports to Zephyr Cove Resort VP Operations
• Position requires focus, a positive attitude, and strong organizational skills
• Must be able to work efficiently – prepared to help wherever needed

Qualifications

• High School Diploma or equivalent required. College Degree preferred
• Strong ability to effectively execute MS Office, MS Word, MS Excel programs.
• Previous experience and/or desire to work in tourism industry preferable.
• Must have excellent oral and written communication skills as well as fluency in written and spoken English language
• Excellent computer organizational and time management skills
• Ability to work autonomously without direct supervision
