Job Opportunity: Front Desk Receptionist

Schedule: 32 hours weekly, every other weekend rotation

Responsibilities: Performs clerical duties and recordkeeping functions to assist the administrative team in meeting the needs of the facility, to ensure proper procedures and that the confidentiality of facility information and records is maintained at all times.

Essential Job Functions (With or Without Reasonable Accommodation):

  • Develops and maintains cooperative rapport with all facility personnel, greets and assists residents, visitors, vendors and job applicants in a professional and courteous manner. 
  • Process mail, answers telephones, accurately records messages and responds to inquiries in a courteous manner. Types and proofreads reports, letters and correspondence for staff as needed. 
  • Maintains databases and lists of resident personal information such as phone numbers and processes mailings as needed. Prepares admission packets and ensures distribution to appropriate departments.
  • Assists all other facility staff with duties and is able to set and follow priorities ensuring that deadlines are met.
  • Is responsible to ensure that office equipment including printers are maintained in a clean and safe manner, and ensures that the equipment and supplies are readily available and working.
  • Programs the telephone system if necessary; sends, receives and distributes faxes; ensures that the postage machine is functioning and has postage available.
  • Knows how to order and track office supply needs and deals with appropriate vendors. 

Qualifications:

  • Ability to read, write and follow written and oral directions in English.
  • Ability to type at least 40 wpm with accuracy, perform simple math problems and handle multiple tasks at the same time with many interruptions and distractions.
  • Ability to answer the phone, handle heavy phone contact in a pleasant and efficient manner taking accurate messages and delivering them to the appropriate staff.
  • Ability to discern and then maintain confidential information. 
  • Demonstrates cooperation in assisting others and ability to work as a team.
  • Patience, tact, enthusiasm and a positive attitude toward the staff, residents and their support networks.
