The purpose of the Operations Specialist role is to:
- Assist with and in some cases oversee the development, implementation, modification and documentation of operational processes for University College Academic Advising (UCAA). These processes are associated with advising caseload management, advising tools and resources, training resources and other areas as needed.
- Serve as the UCAA manager for TracCloud, the advising management platform utilized by UCAA
- Responsible for submitting recurring and new technology support tickets to maintain consistency and accuracy in Banner operations for UCAA
- Assist with data collection, reporting, analysis and utilization for assessment and decision-making for the department
- Serve as back up for student records processing as needed
- Other duties as appropriate and assigned.

- Excellent technology skills; ability to leverage technology to quickly access and disseminate data to meet business needs
- Daily use of various office technology and software applications, including Microsoft Office, Google Suite, Drupal, Zoom, DegreeWorks, Slate, Banner and TracCloud.

Required Functional Competencies to Successfully Perform Job Duties. Professional Knowledge: - In-depth knowledge of TracCloud functions in order to troubleshoot and resolve issues as well as train staff.
- Caseload management and communication planning/implementation for incoming and continuing students which requires advanced technology skills.
- Ability to utilize office technology including Microsoft Office, Google Suite, Drupal, Zoom, DegreeWorks, Slate, Banner, and TracCloud.
- Application and some interpretation of university procedures, policies, and regulations that impact advising and records management for the university.
- Clear understanding and the ability to interpret the General Education requirements and specific program (or departmental) requirements that students must take within their General Education.
- Demonstrates knowledge regarding University resources to assist and refer students as needed.
Program/Project Administration: - Serves as the lead for the process of updating and troubleshooting the Pre-Registration Engagement Project (PREP) AsULearn course for newly admitted students each year
- Works with outside vendor to implement any changes or updates to TracCloud
- Attends regular TracCloud trainings
- Assists with updates to AsULearn training modules for new advisors
- Responsible for utilization and documentation of processes related to advising caseload assignments for new and continuing students each semester
Communication & Marketing: - Articulates guidance and information associated with office software and processes to colleagues
- Responds clearly and understandably, both verbally and in writing, to inquiries, questions, concerns, and issues from UCAA colleagues, other university departments and offices, students and the general public
- Creates and updates written processes and procedures using clear, thorough and concise language as well as audiovisual components as appropriate
