This is a hands-on role that requires attention to detail, and the ability to self-manage and work well within a small team.

About the Role

The Sponsorship Coordinator will support all sponsors through a variety of functions and be responsible for managing sponsorship fulfillment as outlined in sponsor and corporate partner contracts.

The Sponsorship Coordinator will work closely with the entire team and report to the Director of Events & Corporate Partnerships.

This position is an in-office position located in Daytona Beach, Florida.

The following are general descriptions of the essential job tasks of the position. Other related tasks may be assigned as necessary and appropriate.

  • Oversees deliverables and marketing materials for all sponsors and corporate partners. Monitors and tracks deliverables to adhere to deadlines, follows-up on outstanding items, seeks sponsor approval and works with appropriate vendors to finalize.
  • Responsible for ensuring sponsors receive all items included in their contracts.
  • Requests and maintains all sponsor logos, web URL’s, graphics, etc. for signage, communications, and onsite implementation.

Ensures sponsor branding is consistent across all channels.

  • Communicates sponsor logistics and deadlines for all events to sponsors, tracks deliverables, and follows up on outstanding items.
  • Audits reports for non-payment or missing information pertaining to sponsors, advertisers, and corporate partners.
  • Assists with the creation of sponsor surveys and compiles requested information to include in post-event reports.
  • Obtains pricing on sponsored promotional items such as attendee bags, notebooks, etc.
  • Acts as department contact for all customer service issues pertaining to sponsorship, advertisers, and corporate partners.
  • Works closely with staff and vendors on various projects as assigned.
  • Performs related duties and responsibilities as required.

Qualifications :

  • Excellent communication skills, both verbal and written.
  • Strong people skills.
  • Strong presentation skills.
  • Competent in Microsoft Office and Outlook.
  • Initiative-taking and results driven.
  • Ability to work flexible hours
  • Ability to travel by vehicle or air as required

Minimum Experience Requirements

  • Baccalaureate degree in a related field. CMP or CEM certification preferred
  • Prefer 1-3 years’ work related experience
  • Solid understanding of tradeshows and / or sponsorship programs
  • Experience with Salesforce, Cadmium and Asana preferred
  • Ability to work flexible hours
  • Required travel (15% - 20% annually)
