Nuuly is Hiring a Nuuly Buying Operations Coordinator Near Philadelphia, PA

Role Summary:

As a Buying Operations Coordinator you will support the Buying team in the daily operational functions of all apparel categories at Nuuly Rent. The Buying Operations Associate will be responsible for all Purchase Order management and reconciliation including liaising with Distribution Center operations and planning team to resolve tolerance issues. In this role you will develop cross-functional relationships with buyers, internal partners, and market vendors. Exceptional organization and communication skills, attention to detail, with the ability to filter and prioritize feedback and requests are keys to success in this role.

Role Responsibilities:
  • Product Responsibilities: Issuing Purchase Orders, Revising and Tracking
      • Accurately enter and manage purchase orders in Island Pacific
      • Execute PO revisions in a timely manner
      • Ensure timely delivery of merchandise through consistent communication, tracking and follow-up with the vendors, production, DC and buying team
      • Alert buyers to any costing or timing ramifications coming from purchase order changes
      • Prioritize issuing Own Brand purchase orders when necessary
      • Create offers for FOB shipments
      • Manage end of week PO pushouts and close POs with straggling units
      • Own Out of Tolerance application, communication with DC team and planning team to resolve all issues
  • Product Responsibilities: Post-Delivery
      • Facilitate open communication between buyers, planning and the DC
      • Manage Docked Not Received weekly
      • Manage Out of Tolerance application - document unit overages/shortages by SKU for Planning team to review
      • Research SKUs and/or POs in Island Pacific and RMS once planning has left notes on OOT
      • Accurately update POs accordingly based on shortage or overage
      • Ensure that units are received in a timely manner after POs are opened/revised
      • Assist the Inventory Control team with various projects (e.g. No Fingerprint, Audits) as time and workload permit
      • Issue and track claims, RTVs, VAFs, UVFs as necessary
      • Help inbound receiving with out of ordinary issues (ex. SKUs delivered that were not ordered; mismatched fingerprints, etc.) and various other problem solving that requires Home Office expertise
      • Assist with sample coordination when necessary/time permits
  • Email & Slack
      • Answer all emails promptly and in an organized fashion
      • Utilize appropriate Slack channels
  • Vendor Communication
  • Act as liaison between the vendor and the buyer; responsible for all vendor follow-up regarding tracking and deliveries
      • Exhibits strong vendor communication skills and enforces vendor compliance rules; partners with buyer, vendor compliance and necessary other stakeholders to make exceptions when necessary
      • Onboard vendors and help answer ticketing and fulfillment questions
  • Leadership and Team Management
    • Attend Monday Business Review and monthly Open to Buy meetings, participating and providing insight and perspective where relevant
    • Identify challenges, problems or opportunities and assist in creating solutions within Buying Operations
    • Exhibit a high sense of urgency and ability to manage multiple priorities
    • Maintain a positive, collaborative relationship with the Buying and Planning teams toward common goals for the merchandise area
    • Maintain positive, professional communication in emails and interpersonally, respond clearly and in a timely manner to emails, can prioritize emails and communicate what can or cannot be done and when it can be expected
Role Qualifications:
  • Understanding or interest in retail, e-commerce backend operations and logistics, and/or merchandising
  • Exceptional organizational skills and attention to detail
  • Excellent verbal and written communication skills with the ability to organize information and manage multiple projects
  • Ability to work efficiently on a deadline
  • Eager to learn new skills and systems, ability to prioritize and maintain a high level of accuracy in a fast-paced, dynamic environment
  • Self-motivated and comfortable working independently with a sense of urgency while supporting company goals and objectives.
  • Fan of the URBN family of brands with an understanding of the customer
  • Enthusiastic about Nuuly and motivating in communication style
  • A team player with the ability to provide leadership, training and motivation to employees and peers
  • Ability to partner and collaborate with cross functional teams with an understanding of everyone's objectives.
  • Requires basic knowledge of Microsoft Excel and Google Sheets
