Position Overview: As the Office Coordinator, you will be responsible for maintaining the efficient day-to-day operations of our facility. This multifaceted role combines office management, intake coordination, and receptionist duties to provide essential support to both clients and staff.
Key Responsibilities:
o Oversee office supplies, inventory, and equipment maintenance.
o Manage administrative staff, delegating tasks and ensuring deadlines are met.
o Maintain a safe and organized work environment.
o Conduct client intake assessments to gather necessary information for treatment planning.
o Collaborate with clinical staff to develop individualized treatment plans.
o Communicate effectively with clients and their families, providing information and support during the intake process.
o Ensure all necessary paperwork and documentation are completed accurately and in a timely manner.
o Greet clients and visitors with a welcoming and professional demeanor.
o Answer phone calls, provide information, and direct calls to the appropriate personnel.
o Manage appointment scheduling, reminders, and follow-ups.
o Maintain confidentiality of client information at all times.
o Maintain electronic and physical client records, ensuring compliance with HIPAA regulations.
o Assist with billing and insurance verification processes.
o Collaborate with clinical and administrative staff to ensure smooth operations.
o Attend team meetings and provide input on improving processes.
