About American International College:

American International College is a private, coeducational institution of higher education located on a 88 acre campus in Springfield, Massachusetts. Job Description:

  • Provide an excellent customer service experience and facilitate student success by providing guidance and options to assist in the successful resolution of their financial obligations, explaining college policies and procedures, referring to other offices or services on campus. Present a positive and supportive image of AIC. Responsible for the front desk, the office email account and the main office phone line.

  • Responsible for daily cashiering entries and end of day reconciliation and reporting. Responsible for various non-student and deposit payment processes, miscellaneous entries, collection payments, file maintenance and notifications.

  • Perform miscellaneous office tasks such as mail collection and distribution, assist with student mailings, track and order office supplies, address update requests for returned mail and other functions as needed. Provide assistance upon request for office projects. Assist in organizing and entry of Student Accounts forms.

  • Student Health Insurance: Responsible for all areas of the student health insurance. Participate in the yearly meetings regarding the rates and options offered on the insurance policy. Develop the yearly calendar with our vendor. Confirm student enrollments with the vendor and process all waivers and enrollments that are submitted. Send communications to students regarding the insurance and upcoming deadlines. Submit yearly state required documents as needed.

  • Assist with processes to update student accounts with holds, alerts and notes. Assist with student communication and tracking processes. Yearly NACUBO yearly SFS benchmark reporting.

  • Responsible for the maintenance, processing scanning, invoicing and reconciliation of the outside scholarships in conjunction with the Office of Financial Aid.

  • Know, comply and be able to effectively communicate all institutional, state and federal policies, guideline and regulations relating to student accounts, including but not limited to the following: FERPA and Title IV regulations. Responsible for maintaining the integrity of the Student Accounts system in compliance with all federal, state, and institutional policies.

  • Review the daily transcript requests from the Office of the Registrar and indicate whether or not transcripts can be released.

  • Functional areas of specialties: Employee remission and PIK reporting. These processes require a high level of co-ordination with multiple offices.

  • Liaise with other offices such as Financial Aid, Office of the Registrar, Residence Life, Advising, and other offices of the college as needed. Maintain a positive working relationship with these areas and foster an atmosphere of goodwill and teamwork across departments.

  • Complete projects as assigned by the Bursar and other duties as assigned.

  • Assist with the development and maintenance of documentation for areas of responsibility.

  • Assist with orientation, check-in and other college events that may require some weekend and/or holiday hours.

Requirements:

  • Required Degree(s): High School Diploma/equivalent (minimum). Advanced degree or some college credit courses preferred.

  • Preferred Degree(s): Bachelor's Degree in a related field and 1-3 years in a related field.

  • Required Field of Expertise: High School Diploma: 3-5 years experience in a related field (i.e. collections/ data entry/ account processing/ general office duties)
    Bachelor's Degree: 1-3 years of experience in a related field.

  • Preferred Field of Expertise: Higher Education, collections, account processing, general office, and customer service related positions.

  • Preferred Training/Cert: Microsoft training (Word, Excel, Outlook)

Knowledge/Skills/Abilities

  • Bilingual (English/Spanish): Written and verbal, preferred

  • Accounts Receivable Skills: Cash, check and credit card handling, computer skills and proficient math calculation skills. Superior organizational skills.

  • Computer Skills: Advanced experience Microsoft Office software including Word and Excel. Ability to acquire new and enhanced skills as new technology is introduced and general keyboarding skills.

  • Reasoning Ability: Positive problem-solving ability and superior critical thinking skills.

  • Language Skills: ability to read, analyze and interpret general business polices, technical procedures, and government regulations. Ability to write procedure manuals. Ability to interpret instructions furnished in written or oral form. Ability to effectively communicate difficult and/sensitive information in a professional manner.

  • Ability to work independently with minimal supervision to prioritize, implement, and manage multiple projects and due dates.

  • Experience working in account receivable management in higher education, knowledge and understanding of federal cash management regulations, FERPA regulations, and generally accepted accounting principles and practices.

Work Schedule

The Student Accounts Counselor is a full time, non-exempt position scheduled for 35 hours per week. Normal Office Hours are 8:30 a.m. to 4:30 p.m. with a one-hour unpaid lunch. The hours of work are flexible to the needs of the department. Occasional evening and weekend work is required.
