American Art Collector is Hiring an Administrative Assistant/Marketing Coordinator Near Scottsdale, AZ

International Artist Publishing, Inc, a well-established, award-winning international print, digital, and podcast media publisher is seeking a detail oriented individual to help us with email marketing, sponsorship coordination, subscription marketing as well as customer service, and administrative assistant responsibilities as they fit with the overall position.

The right individual should be a hard worker, dedicated to accuracy who works well in a fast-paced, deadline oriented, team environment. Responsibilities include:

ADMINISTRATIVE ASSISTANT

  • Assisting the Subscription/Circulation department in the daily clearance and sortation of all incoming mail from the local post office
  • Runner to and from the post office, bank, and assist in other general office duties such as supplies ordering, maintaining reports, files, and records
  • Miscellaneous duties and responsibilities as needed by Office Manager
  • Work with Publishers on special assignments as needed
  • Organize Travel with Office Manager for company

SUBSCRIPTIONS/DISTRIBUTION/CUSTOMER SERVICE

  • Taking calls daily for subscription questions and solving them
  • Taking calls daily for orders and artists question of magazines
  • Working with Sponsorships to not only confirm distribution but also establish what subscription marketing discount we will send with the magazine copies.
  • Help with booth planning for events when needed
  • Work with Traffic to ensure that all marketing for subscriptions and other communication is ready when deadline schedule is developed.
  • Miscellaneous duties and responsibility for Subscription and Customer Service.
  • Database management.

MARKETING COMMUNICATION

  • Work with creative department to ensure sell sheets monthly are complete.
  • Meet with team monthly to create monthly marketing schedule for deliverables
  • Work with Account Executives for special marketing vehicles they need
  • Understand the Google Drive so that all marketing stays organized
  • Excellent client service and writing skills are required
  • Have a creative marketing mind to be able to work with a team and support the account executive efforts through marketing
  • Reports and database management

The perfect team member will have excellent communication skills with an overall positive attitude toward helping people. Top candidates must be easy to work with, detail oriented, have outstanding people and customer service skills along with a great professional telephone manner. Candidate should be fully proficient with Microsoft Office (Word, Outlook, etc.) with Advanced Microsoft Excel skills and be able to learn different software and CRM databases easily. Your excellent writing skills are mandatory, previous publishing experience is a plus, and any ability to work in In-Design will always be a bonus.

International Artist Publishing will offer an exciting job with a good salary, plus benefits, including health, dental, eye, life insurance, and 401K after a 90 day introductory period.

Minimum Qualifications:

  • Minimum 2 – 4 years college preferred or
  • 3 years demonstrated excellent Customer Service experience
  • Marketing and/or Traffic experience required
  • Must be strong in Database Maintenance/Upkeep
  • Proficient in Microsoft Office with Advanced skills in Excel
  • Some accounting skills are preferred – AP/AR knowledge
  • Knowledge of Xero a plus
  • Excellent typing skills
  • Proficient in writing and speaking English
  • 70% of job is Data Entry whether it is admin or marketing or distribution –
  • 99% accuracy is required.
  • Assist and be responsible for all relevant print runs and distribution as assigned
  • Generate marketing lists and other lists as required from database and outside sources
  • Maintain files and logs of incoming classified ad materials, competition entries and editorial
  • Responsible for the main answering of subscriptions lines, office phones and other secretarial duties in a professional manner
  • Helps to update company website databases and web stores
  • Responsible for all incoming and outgoing office mail on a daily basis
  • Have a car and a valid license for daily post office and deliveries as needed.
  • Perform and assist with general office duties as described above
  • Provide marketing and administrative as needed for a fast-paced on demand sales team and all other staff
  • Provide back up support for all other departments on an as needed basis
