Fiscal Clerk/Receptionist
The Fiscal Clerk/Receptionist provides support to the Finance /Billing Department Staff and Chief Financial Officer in fulfilling their responsibilities. This includes organizing documentation, data entry, filing, and other light administrative support activities that assist the Chief Financial Officer. This position is based at the front desk of one of the Behavioral Health offices and serves as a receptionist, while conducting their fiscal clerk responsibilities. This involves greeting clients and visitors, answering calls, scheduling appointments and related front desk activities. The position requires becoming familiar with Alta’s Electronic Health Record and to a limited extent, Alta’s accounting software.
Hours:
Monday – Thursday 12:00 p.m. – 8:00 p.m., Friday 8:00 a.m.-4:00 p.m.
or
Monday – Thursday 10:00 a.m.-8:00 p.m.
ESSENTIAL FUNCTIONS OF THE JOB
Fiscal Clerk Responsibilities:
Support fiscal department operations and staff, including organizing documentation, data collection, data entry, filing, and other light administrative support activities that assist the Chief Financial Officer.
Assist in organizing, copying, and preparation of financial reports as requested by the CFO.
Assist with the preparation and publication of departmental and organization financial documents.
As requested, assist in daily logging of receipts received by Alta.
Any purchasing activities as instructed by CFO/CEO.
Assist in the preparation of necessary and requested materials for review by the Alta’s contracted Independent Auditor, as well as any Government or Third-Party Payer auditors.
Assist the CFO and CEO, as requested, in review of the annual independent Audit Report and response to any findings or recommendations.
Assist other service department directors/supervisors with any fiscal related needs.
Receptionist Responsibilities:
Responsible for initial (courteous) contact with potential clients, recording needed information correctly.
Knowledge of phone system and ability to answer phone, transfer calls to other staff and take messages.
Responsible for scheduling clinical appointments, processing medical documentation, and taking payments.
Perform filing duties and file maintenance. Scan and access electronic charts.
Attend staff meetings and other intra-agency meetings as required.
Attend/Receive trainings as requested.
When necessary, periodically interact with children in waiting areas so as to comfort or answer inquires during parent session and/or while waiting for transportation from Alta facilities.
Compose correspondence independently, as instructed by the CFO and CEO.
Performs all other duties as assigned.

MINIMUM QUALIFICATIONS
High School Diploma or equivalent.
Experience in general secretarial duties, to include typing, filing, and operation of basic office equipment.
Solid communication skills, both written and verbal.
Superior attention to detail.
Critical thinking skills; problem-solving skills; computer skills; multi-tasking abilities.
Integrity, honesty.
Proficient in Microsoft Office Suite or similar software with emphasis in Excel.
Preferred:
Associates Degree in Business and Accounting, or equivalent experience.
Superior mathematical skills.
Experienced with Excel spread sheet capabilities.
Experience in non-profit medical or social service environment.
