Job Summary:
Join our team as an Office All-Star in a range of dynamic office roles, where you will play a pivotal part in ensuring the smooth operation of our office environment. If you are a multitasking enthusiast with a passion for administrative tasks and customer support, our office is perfect for you. Training for our office is required and depending on your skills and successful completion of our training, your primary role may be in one of the areas listed below:
The Order Entry department is fast-paced and goal-oriented, reviewing and proficiently entering purchase orders into the company systems while balancing a multitude of validation and order clarification steps.
The Customer Service department handles a high volume of client communications either by telephone or electronically and seeks to create a positive experience or resolution for each interaction.
The Billing department undertakes financial and non-financial tasks while managing the status of invoices and identifying inconsistencies as well as any processes related to the recording, invoicing, sorting and filing of payments and its paperwork.
The Repeats and POR department is responsible for reviewing the accuracy of reorders and verifying exactness or highlighting order changes as well as investigating order history and completeness. Researching where an order or invoice has been placed, tracking its movements and notating its whereabouts. The area also properly archives, creates or updates records with new files and information and maintains the filing system.
The Sample department is responsible for reviewing and accurately entering sample orders into the company systems, locating and organizing sample products, as well as completing the sample shipping process.
Responsibilities:
- Coordinate and assist in all tasks within the office.
- Perform various administrative tasks such as data entry, archiving, printing and transporting files.
- Manage your assigned tasks efficiently to ensure a well-organized workspace.
- Provide exceptional customer support through phone and email communications.
- Learn to navigate our different platforms and utilize multiple monitors.
- Handle office phone systems and direct calls appropriately.
- Maintain and organize physical and digital files for easy retrieval.
Qualifications:
- Proven experience administrative tasks and data entry.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in office management practices and customer support techniques.
- Ability to manage deadlines and accuracy.
- Familiarity with phone systems and handling incoming calls effectively.
- Ability to maintain confidentiality and handle sensitive information securely.
