Our focus is on delivering an individualized service tailored to the unique educational needs of each student and family.Here's where you come in.As our Business Operations Manager, you will play a pivotal role in overseeing and managing the operations for all lines of our business. You will work closely with Senior Leadership, the college counseling team, and instructional staff to enhance our business operations and counseling/educational programs, improve and maintain high-quality standards, and ensure the academic success of our students with high levels of parent satisfaction. You will also lead the business in project management, operations management, event management and process mapping/improvement to move organizational priorities forward.Reporting to the CEO, you will be responsible for managing our business operations on a day-to-day basis and streaming Insight Education's internal processes and procedures across the company. Your responsibilities will be leading the growth and success of our in-person SAT and ACT test preparation classes in the greater South Bay/Cupertino region and the development and successful launch our future online SAT and ACT classes. Growing our 1:1 test prep and academic tutoring business will also fall under your purview. Other responsibilities include successfully integrating the launch of our Digital SAT classes this year.This role is ideal for a seasoned Operations Manager with proven experience in the day-to-day operations of an education company, test prep/tutoring company, or a business that serves the enrichment needs of young people and their families, ready to work actively with the entrepreneurial owners of the company. Core attributes include the ability to quickly build rapport with others, a strong sense of follow through, pride in your work, detail-oriented, and collaborative in decision-making as well as having exceptional business acumen and creative problem-solving skills. The ideal candidate will also have a strong background in operations, sales and/or marketing, and possess exceptional leadership and organizational skills.What You'll Be Doing:Operations ManagementCoach and supervise the Office Management Team (OMT), and manage their Manage performance management and annual reviews.Oversee and work collaboratively with the OMT to create and/or enhance internal processes and procedures to streamline the management of our counseling, class, and tutoring businesses.Manage and assign OMT schedule.Research, test, and select an online class management software to integrate the launch of our digital SAT classes and tutoring.Research, test, and select an online provider of Digital SAT content and when the time comes, Digital ACT content.Manage and grow our SAT, ACT, and AP diagnostic/practice test library.Manage class/boot camp curriculum and order necessary supplies well in advance.Point person for customer satisfaction issues.Business Administration Responsible for daily operation of the Cupertino office.Point person for all vendors and service providers we work with.Oversee the employee recruitment, selection, and onboarding processes across the company, including the development of creative plans, job descriptions, and programs to attract high quality talent.Take over the Employee Handbook which is in-process.Develop and implement HR policies and procedures that align with the company's goals and objectives.Perform administrative tasks as needed, including answering phones, drafting documents and emails, preparing reports, submitting reimbursements, managing records.Scheduling Create and manage an annual test preparation class calendar in collaboration with the CEO ensuring revenue goals and student enrollment numbers set by Senior Leadership are met.Manage individual class schedules dynamically ensuring that modifications can be made based on real time enrollments.Assign instructional staff to each scheduled class and communicate academic or test preparation goals. Ensure there is a backup plan in place in the event of unplanned absences.Coordinate tutoring platform access and troubleshoot software issues for clients and/or tutors as required.Tutoring Management Respond to all client inquiries including refund requests, reassigning students to a new instructor/tutor, rescheduling, and managing cancellations.Recruit and train tutors and instructors to build and maintain a high-performing team of educators.Welcome, onboard, and train new tutors and proctors, and administer diagnostics for new tutor candidates.Track purchased tutoring bundles as they are depleted for each client by actively monitoring Insight Education's tutoring platform and promoting new bundles.Manage in-person vs virtual tutor availability to satisfy demand.Class Management Conduct performance check-ins with instructional staff and communicate any issues they need to improve.Oversee operational activities including preparing tests and answer sheets, creating class rosters, setting up classrooms, tracking student absences, and scanning and grading multiple choice tests and essays.Manage student improvement as the classes progress, and identify and report any problems to Class Instructor and/or Senior Leadership.Manage BYU testing and Insight's BYU relationship ensuring we are meeting the guidelines set out by BYU.Business Strategy Research and launch an efficient and profitable online DSAT/ACT class program taking into account the new Digital SAT and the forthcoming Digital ACT.Conduct a study of our local market to support business decisions related to admissions counseling, test prep classes and tutoring offerings, pricing, class structure, and in-person vs. virtual.Develop a data tracking system that supports the growth of the class and tutoring business including: Percentage of counseling program students who used a complimentary class;Class and tutoring distribution by high school, grade level, zip code; andMetrics around repeat business from tutoring or class students.Work collaboratively with the CEO and marketing agency to align the admissions counseling, class and tutoring business goals with our marketing strategy and Insight Education's broader organizational goals.Sales and Marketing Collaborate with the CEO and marketing agency, when necessary, to promote the counseling business, particularly for the lesser known current counselors and future new counselors.Collaborate with the CEO and marketing agency to promote the tutoring business and use creative ideas to increase class and tutoring enrollments in a saturated test preparation market (i.e., greater South Bay/Cupertino region and online).Create class schedules with the added goal of optimizing revenues while balancing counseling class credits (students who have a credit purchased through their Insight college counseling program).Work with the CEO and marketing agency to develop a cross-selling strategy that increases LTV for counseling through class and tutoring purchases. Similarly, develop a cross-selling strategy to sell counseling services to tutoring or class students who are not yet in the counseling program.Sole responsibility for managing every step of the event management process for both internal clients and externally for customer acquisition or community engagement. We participate in online and in-person events.What We're Looking For: BA or BSc degree is required; Master's degree is preferred.5 years of operations experience, ideally in a for-profit education environment.Some experience as an SAT or ACT instructor in a similar for-profit organization is preferred but not required.Demonstrated success in curriculum development and program management. If specific to SAT/ACT, even better.What You Have: Strong project management and time management skills.Proven experience recruiting counselors, tutors, instructors, summer program staff, and/or teachers in a similar industry.Previous experience in a marketing and/or sales-driven role is an asset.Exceptional leadership and team management skills with the ability to motivate and inspire instructors and administrative staff.Strong analytical skills with an aptitude for creative problem solving and taking calculated risks using data.Passion for education and a commitment to helping students achieve their academic goals.Experience in a high-growth business, or attraction to work in such an environment is a significant asset.Working @ Insight EducationThis is a full-time salaried position, working in-person at the office in Cupertino, CA.
