Job Responsibilities for Billing Administrator:
  • Responsible for the monthly fixed and mileage billing for all Allegiance locations
  • Obtain all the monthly mileages and reefer hours, where necessary, for all customer units.
  • Set up all contracts in the Allegiance business system for Full-Service Lease and Contract Maintenance customers with the proper rates and inception dates for all new and renewal vehicles.
  • Process the final billing and then maintain the finalized contract information in the Allegiance business system when units come off lease.
  • Update CPI rate adjustments every six months or on a yearly basis as required and enter the new billing rates into the Allegiance business system after Supervisor approval.
  • Process Schedule A data in E-Manager.
  • Rebill any amounts over the agreed base cost, which potentially applies to License Plates, Property Taxes, FHUT Taxes, and any other miscellaneous charges like Tolls, Fines, and Moving Violations.
  • Responsible for completing deal tracker data.
  • Maintain customer unit files and upload necessary documents to unit profile in E-Manager.
  • Request D&B reports for potential customers who are preparing to be a lease and/or rental customer.
  • Manage credit applications with Area Administrative Managers.
  • Prepare customer reviews quarterly for Area Sales Directors.
  • Responsible for submitting commission to Area Administrative Managers.
  • Research customer billing concerns and submit adjustments for approval.
  • Coordinate other administrative duties that support the Lease billing function. This may include maintaining current insurance certificates on all non-National Account customers.
  • Maintain master lists of all the Lease and Rental vehicles titles and manage this process with banks and financial institutions.
  • Perform measurable billing quality initiatives and seek new procedures to improve the billing processes.
  • Assist with other projects as needed
Required Skills for Billing Administrator:
  • College courses in business administration, accounting, business systems required. A college degree is preferred.
  • One to three years of related administrative experience.
  • Experience in a central office support environment (shared services) preferred.
  • Ability to be organized and handle multi-tasking activities with multiple locations.
  • Ability to work with remote administrators to coordinate activities throughout the organization.
  • Ability to utilize Excel, Word, and other Microsoft software at a proficient to expert level.
  • Self-motivated/self-driven.
  • Dealership experience, whether car, truck, motorcycle, etc. beneficial, but not required.
  • Excellent communication skills and a team mentality are necessary for strong job performance.
  • Other duties assigned by manager.
