Allegheny Intermediate Unit is Hiring a Pathfinder School: Secretary-ACCESS Clerk Near Bethel Park, PA

Job Title: Secretary/ACCESS Clerk (Special Education School-Based)
Position Summary:
This position is responsible for providing part time administrative support for main office activities including scheduling appointments, greeting visitors, and preparing internal/external communications. This position is also responsible for coordinating clerical ACCESS billing tasks. The secretary must use initiative and judgment in the performance of duties. The secretary must be prepared to deal with school-based confidential matters. The Secretary needs to use independent judgment in determining how to manage designated duties and responsibilities. The Secretary needs to understand program needs in order to anticipate and respond accordingly.
Duties and Responsibilities:
1.Completes routine office duties such as composing and typing internal/external correspondence, scheduling and organizing meetings, screening and directing phone calls and maintaining daily attendance roster.
2.Receives and manages general school inquiries including the necessary maintenance of employee and department directories.
3.Receives building visitors, in a manner consistent with building security procedures including operating the electronic entrance and visitor management systems.
4.Assists with registration of students and keeps the school roster current.
5.Operates office equipment and applications including copiers, printers, email, postage meter.
6.Assists other staff personnel, when necessary, as per collective bargaining agreement. Notifies building administrator of ACCESS work overload.
7.Creates filing systems, databases and spreadsheets for maintenance of student, personnel and ACCESS related program records.
8.Collects and maintains current data and documents including but not limited to monthly student/staff status reports and quarterly master spreadsheets on behalf of the AIU-operated Special Education Schools for ACCESS billing.
9.Tracks and maintains copies of all current CPR/FA certifications for staff involved in ACCESS billing on behalf of the AIU-operated Special Education Schools.
10.Generates reports for building administrators on the staff submissions of ACCESS billing data.
11.Submits ACCESS billing data to the fiscal services on behalf of the AIU-operated Special Education Schools.
12.Coordinating access to and training staff on the use of the ACCESS online data reporting platform.
13.Scheduled annual ACCESS billing training for staff and new employees hired.
14.Performs other secretarial related duties as assigned by the building administration and/or Senior Secretary
1.High School diploma/GED required; associate degree preferred.
2.One year of related experience within an office/school environment required.
3.Basic knowledge of computer applications such as Word, Access, Excel, PowerPoint and Outlook.
4.Experience with IEPwriter and Student Information Systems is preferred.
5.Excellent communication skills, both written and verbal, required.
6.Minimum 60 wpm typing speed preferred.
7.Basic knowledge of office machines (copiers, fax, typewriter, telephone, etc.)
8.Strong organizational skills.
9.Excellent customer service skills.
10.Ability to prioritize tasks, meet deadlines and work under pressure.
11.Ability to work as part of a team.
12.Ability to travel between facilities as needed.
13.Strong commitment to total quality standards.
14.Ability to be flexible and perform other tasks as assigned.
15.Ability to comply with the AIU Conduct Policy.
Additional Requirements:
1.Current Act 114, Act 34, Act 151 and NSOR Clearances required prior to an offer (Must be dated within 1 year of hire date).
2.School Personnel Health Record (Form H511.340) must be completed and received by Human Resources prior to hire date.
