Job Description

The Donor Relations and Event Coordinator reports directly to the Director of Development and Alumni Relations and will support the Office of Development in various ways throughout the year to help advance the mission of Fountain Valley School. This role will be responsible for fostering strong relationships with donors and executing successful fundraising and friendraising events. The individual in this position is expected to possess excellent communication and organizational skills, a passion for donor relations, and a talent for event planning and execution.

Duties and Responsibilities Include:

  • Oversee and manage the Young Alumni Program and the Student Ambassador Program.
  • Cultivate and maintain positive relationships with donors in the low to mid level giving range, ensuring personalized and effective communication.
  • Coordinate donor recognition activities, such as personalized acknowledgments, handwritten thank you notes, and impact reports.
  • Collaborate with the development team to create and implement donor engagement plans and strategies.
  • Plan and execute fundraising events, including alumni, parent, and prospective parent receptions and annual FVS Reunion.
  • Develop event timelines, budgets, and work plans, ensuring all tasks are completed in a timely and efficient manner.
  • Coordinate event logistics, such as venue selection, catering, audiovisual requirements, and event registration.
  • Oversee event promotion, marketing activities, and invitations.
  • Manage event volunteers, including recruitment, training and assignment of roles and responsibilities.
  • Maintain accurate and up-to-date donor records by recording donor interactions and event participation.
  • Generate reports and analysis to provide insights on donor engagement, event effectiveness, and event fundraising progress.
  • Record all event registrations/attendance in RE.
  • Create a system for recording and tracking donor appreciation gifts to ensure no constituent receives the same gift.
  • Collaborate with the development team and database administrator to ensure data integrity and resolve any data discrepancies or errors.
  • Collaborate with other departments, such as marketing and communications, to ensure consistent and effective messaging regarding donor relationships and fundraising events.
  • Research and create confidential donor profiles for senior development staff and Head of School through the use of Blackbaud Raiser’s Edge and DonorSearch research software, as well as other research tools.
  • Manage and prepare all material required by the senior development staff and Head of School in preparation of their donor relation and event travel. This will include complete, up to date, and accurate donor profiles.
  • Create accurate data lists through Blackbaud Raiser’s Edge for prospect research.
  • When needed as a back-up, help process accurate gift recording including gift receipts and donor acknowledgements using Blackbaud Raiser’s Edge donor database.

Qualifications and skills

  • Bachelor Degree preferred
  • Expertise in Microsoft Word, Excel, Google Suite, mail merges, and data input. Blackbaud Raiser's Edge experience preferred
  • Excellent written and verbal expression
  • Proven experience in donor relations, event planning, or a related field
  • Excellent organizational and project management skills, with the ability to manage multiple priorities and meet deadlines
  • Flexibility to work evenings and weekends as required by event schedules
  • Strong organizational skills and attention to detail
  • Ability to manage multiple projects, meet deadlines, and prioritize among assignments
  • Ability to work independently and as an effective team player

Working Conditions :

  • Environment: indoor office working with some outdoor events
  • Proof of COVID-19 Vaccination/or evidence vaccination is in process. The school will make reasonable accommodations for applicants who require a medical or religious exemption.
  • Physical demands: able to sit and stand for at least 8 hours per day; occasional after hours, weekend and/ or weeknight obligations. Must be able to lift 40 lb.
  • Attendance at certain events will be required
  • Working relationships: students, parents, outside vendors and all other employees

Salary Range: $50,000 - $55,000 depending on experience and degrees
