Job Overview:

We are seeking a highly organized and customer-focused individual to fill the role of Lead Office Coordinator. The Lead Office Coordinator will be responsible for managing various administrative tasks, ensuring smooth clinic operations, and delivering outstanding customer service to our clients. This role requires strong leadership skills, attention to detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

  • Client Communication: Serve as the primary point of contact for clients, greeting them warmly, answering inquiries, and providing assistance as needed.
  • Scheduling and Appointment Management: Oversee the scheduling of patient appointments, ensuring accuracy and timely updates to the EMR system. Coordinate with therapists to optimize appointment availability.
  • Administrative Support: Manage administrative tasks such keeping patient charts up to date, handling incoming and outgoing faxes, liaising with billing department.
  • Insurance Verification: Verify patients' insurance benefits, update insurance information in the EMR system, and communicate any relevant details to patients.
  • Client Engagement: Maintain positive relationships with clients by following up on missed appointments, and addressing any concerns or issues promptly.
  • Training and Development: Train new team members on job responsibilities, clinic protocols, and customer service standards. Provide ongoing support and mentorship to the team.
  • Team Meetings: Gather weekly data to present to team and recap in meeting recap emails. Assign tasks as needed from meeting to team.
  • Performance Division Management: Assist with tasks related to the performance division, including confirming group training attendance, scheduling sessions, and pulling necessary reports.
  • Performance team communication: Ensure that all trainers are aware if sessions are booked or change. Update performance schedule as needed.
  • Keep the energy high and the smiles wide with your infectious enthusiasm.

Qualifications /Requirements:

  • Experience: Previous experience in a similar medical administrative or customer service role
  • Leadership Skills: Proven ability to lead and motivate a team, delegate tasks effectively, and maintain a positive work environment.
  • Communication: Excellent verbal and written communication skills, with the ability to interact professionally with clients, colleagues, and external partners.
  • Organization: Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritize workload accordingly.
  • Customer Service Focus: Dedication to providing exceptional customer service and ensuring a positive experience for clients at all times.
  • Tech-Savvy: Proficiency in using office software applications, electronic medical records systems, and scheduling software.
  • Flexibility: Ability to adapt to changing priorities and work effectively in a fast-paced environment.
  • Bi-lingual preferred, but not required
  • Education or certification in office administration, healthcare administration, or a related field.
