Role Description

This is a full-time on-site role for a Administrative Specialist at Alinea Hair Extensions in Boca Raton, FL. The Administrative Specialist will be responsible for day-to-day tasks such as assisting stylists with hair extension installations, maintaining inventory, organizing salon supplies, providing customer service support, and ensuring a clean and organized salon environment.

Job Summary:

We are seeking a proficient Bilingual General Business Assistant to support our dynamic team. The ideal candidate will be fluent in both Spanish and English and will assist with various administrative duties. A cosmetology license is plus, reflecting our industry's unique needs.

Responsibilities:

  • Manage incoming communications by answering emails and phone calls promptly and professionally.
  • Process client orders efficiently, ensuring accuracy in order and payment details.
  • Serve as the first point of contact for both Spanish and English-speaking clients, providing exceptional customer service.
  • Assist in the scheduling and coordination of appointments and meetings.
  • Maintain organized files and records to ensure up-to-date documentation.
  • Support various departments with administrative tasks as needed.
  • If licensed in cosmetology, provide expert advice and support on related queries and services.

Skills:

  • Fluency in both Spanish and English is essential.
  • High school diploma or equivalent; further education or certification in office administration or a relevant field is preferred.
  • Cosmetology license is highly preferred, but not mandatory.
  • Proven experience in an administrative role, demonstrating strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and comfortable learning new software systems.
  • Ability to handle confidential information with discretion.

Work Environment:

  • This position is office-based with standard working hours from 9-5 Monday to Friday.
