JOB DESCRIPTION:

Under direction of Transportation Manager, is responsible for all elements of activity trip operations from each depot. The position involves assigning trips to bus operators, approving trip requests from schools, and completing regular reports to indicate costs, bus operator assignment summaries, and expenditures. Work may also be performed under the direction of any transportation depot manager, or designated assistant and through required consultation with dispatchers. Employees in this class exercise initiative in setting up records in accordance with sound bookkeeping practices and APS procedures, scheduling work, and making necessary contacts.

ESSENTIAL FUNCTIONS:

Incumbent must achieve the following outcomes with or without reasonable accommodation

  • Ensures the smooth and efficient operation of all elements of field trip services.
  • Coordinates assignments daily on bus operator availability and in accordance with the Negotiated Agreement.
  • Supervises and directs activities of field trip assistant(s).
  • Maintains professional relationships and works cooperatively with employees, the community, and other professionals.
  • Maintains professional competence through individual and staff training, in-service educational activities, and self-selected professional growth activities.
  • Attends and/or conducts staff meetings and participates on committees within area of responsibility.
  • Answers telephone calls and inquiries from principals, teachers, and parents.
  • Approves trip tickets, properly separates, and forwards or returns appropriate copies to the school and files office copy. Coordinates trips per miles and cost, etc. Enters trip tickets into the computer.
  • Assigns trips and serves as support for the office when necessary.
  • Surveys market pricing to stay competitive.
  • Dispatches drivers from one depot to another to cover assigned trips and to maintain schedules.
  • Prepares field trip assignments and puts them on the buses the evening before the field trip.
  • Gives maps and directions for trips.
  • Analyzes field trip requests, notifies school personnel of the approval of the field trips.
  • Coordinates all aspects of APS trip request.
  • Coordinator and contact for outside organization trip requests.
  • Updates drivers with time or destination changes.
  • Maintains contact with shop facilities on the wheelchair buses for availability.
  • Answers inquiries on operators running late and students lost on trips.
  • Coordinates contingency planning to compensate for problems.
  • Responsible for making sure driver has proper clearance to badge in exterior gates on nights and weekends after hours.
  • Maintains a customer response feedback log for field trips and forwards report to supervisor on as needed.
  • Ability to obtain and maintain CDL class B with P and S endorsements and meet all DOT drug test requirements.
  • Drives bus routes and dispatches when needed.
  • Work overtime when required.
  • Performs other tasks related to area of responsibilities as requested or assigned by an immediate supervisor.
PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE:
  • Effective communication skills, both, verbal and written
  • Flexibility, organization, decision-making and problem-solving skills.
  • Interpersonal skills with diverse populations' in-person and on the telephone.
  • Thorough knowledge of the streets and road system of the metropolitan area, including knowledge of outdoor education sites, local museums, and other ancillary sites for extracurricular activities.
  • Ability to operate a computer, or to learn to operate a computer, concerning the assigning of trips, and cost accounting and related field trip recordkeeping and statistical work, and Microsoft Office Suite.
  • Ability to temporarily assume responsibility covering outside events during emergencies.
  • Ability to perform quickly and efficiently a wide range of standard office clerical tasks.
REQUIREMENTS:
  • Associates Degree and 2 years computer and/or customer service experience preferred or High school graduation or equivalent with 5 years of computer and/or customer service experience in lieu of.
  • Possession of a valid State driving license with clean driving record.
  • Must obtain CDL Class B within 60 days of hire.
  • First Aid/CPR certification obtained within 60 days of hire.
