Position Overview

The Project Administrator is accountable for the following:

General Office Support to include but not limited to:

  • Performs all administrative duties as required.
  • Greets and assists visitors.
  • Schedules meetings.
  • Maintains visitor log, PPE log & parking log.
  • Processes & distributes incoming/outgoing mail.
  • Types, files and distributes forms and correspondence from project start-up to project closeout, including but not limited to, letters, transmittals, memos, meeting minutes, daily reports, RFI log, COR log, CO Log, weather day log, submittal log, cost code log and correspondence log.
  • Obtains and maintains postage meter & master key box if required.
  • Maintains field office in a clean working order, answers phones, and forwards messages.
  • Maintains project photos (digital/album).
  • Ensures office equipment is maintained and in sound working order.
  • Maintains staff vacation log and prepares monthly report for management.
  • Establishes accounts and orders consumable items as required (i.e. office supplies, paper goods, cleaning supplies, beverage service, etc.).
  • Establishes and maintains phone/fax contact list, data communication (DSL, T-1, dial-up), network server computers, printers, plotters, scanners, telephone system/voicemail, phone/fax with local phone company (for out of town projects).
  • Obtains mobile phones, pagers, fax machines, copiers, cameras, TV/VCR.
  • Sets up mail service, FedEx, UPS, etc.

HR/Payroll Support to include but not limited to:

  • Maintains new employee/safety orientation sign-off sheets & drug testing logs.
  • Reviews Project Orientation Package (State & Federal withholding documents, I-9, harassment, etc.) with all new employees.
  • Processes new hires and layoffs as required.
  • Completes payroll time entry in accordance with STL guidelines and schedules.
  • Compiles and maintains an employee database.
  • Compiles & maintains and employee attendance history database.
  • Provides management with accurate manpower reports as required.

Project Controls Support to include by not limited to:

  • Ensures proper permits are obtained, relative to project requirements. Tax-exempt for all subs when applicable.
  • Provides general field office and project control support and services to a project (size of project will determine the percentage of time devoted to project controls).

Cost/Accounting/Procurement Support to include but not limited to:

  • Submits subsistence if necessary.
  • Assists with payment application to owner.
  • Reviews and submits Certified Payroll when required.
  • Process (code, forward or approve) invoices via Workflow.
  • Prepares Submittals.
  • Sets up local vendors (trash service, temporary toilet, ice, etc.).
  • Sets up local accounts for out of town projects (banking, etc.).
  • Compiles and maintains an inventory management log of material requisitions to include date requested, requestor, material ordered, vendor, date ordered, and date(s) & quantity received.

Qualifications

High school degree or GED and 5 years work experience (some construction industry experience strongly preferred). Intermediate knowledge of Microsoft Word, Excel, Access and Outlook. Basic knowledge of PowerPoint, payroll data entry and Procore experience preferred.
