240-day position paid following the board-approved salary schedule

Job Goal:

  • To enhance the administration of the school's business affairs by performing the bookkeeping functions needed for budgetary control, revenue, distribution of expenditures, general ledger, accounts payable, accounts receivable, and other functions as assigned.
  • To manage the registration and records-reporting process for schools.
  • To assist school administrators, counselors, and school office staff with managing school records and student registration with efficiency and accuracy.

Qualifications:

  • High school diploma or GED; Associate’s degree or higher, preferred.
  • Comprehensive knowledge of double entry accounting and bookkeeping systems, payroll and accounts payable procedures. (Credit on our salary schedule will be given for experience in a similar institutional, governmental or a public schools system where fund accounting is used.)
  • Ability to meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  • Knowledge of general office procedures and school office operations.
  • Demonstrated proficiency in oral and written communication skills.
  • Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
  • Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.
  • Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information.
  • Ability to remain calm and use good judgment in emergency situations.
  • Ability to exercise tact, courtesy and initiative in dealing with students, parents, faculty and the public.
  • Ability to organize and maintain accurate records.
  • Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced work environment.
  • Ability to engage in prolonged sitting.
  • Possess and demonstrate high ethical standards, accountability, and integrity and ensure compliance with local school financial guidelines.
  • Ability to be punctual and in regular attendance.
  • Such alternatives to the above qualifications as the Board may require.

PERFORMANCE RESPONSIBILITIES:

  • Demonstrates support for the school system and its vision, goals, and priorities.
  • Provides management and supervision of the school office, principal's office, and the office staff as requested.
  • Performs duties and represents the system in a courteous, positive and professional manner.
  • Publishes or disseminates daily bulletins or information communications for teachers and the principal as assigned.
  • Provides training to teachers and staff related to local school accounting policies and procedures.
  • Maintains a complete and systematic set of records of all financial transactions of school funds in accordance with generally accepted accounting principles (GAAP).
  • Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, expenses are within budget limits and/or fiscal practices are followed.
  • Records details of school financial transactions.
  • Prepares financial statements, income statements, and accountability and cost reports to reflect the financial condition of the school.
  • Traces errors and records adjustments to correct charges or credits posted to accounts.
  • Reconciles statements and accounts as directed.
  • Maintains financial records for all funds.
  • Performs accounts payable duties that include, but are not limited to, the issuance of purchase orders, accurate coding and posting of invoices, timely payments to vendors.
  • Receipts all funds submitted to the school office daily to the appropriate revenue codes and prepares bank deposits daily.
  • Demonstrates knowledge of local school accounting policies and procedures.
  • Registers new students, requests records, assists withdrawing students, and sends records as needed.
  • Maintains school records, transcripts, reports, databases, and correspondence records as needed.
  • Accurately maintains information related to student enrollment, promotion, retention, dropout, and graduation as applicable for grade level assignment(s).
  • Types and performs various clerical functions.
  • Produces reports and assists with records compilations efficiently, accurately, and in a timely manner.
  • Assists in development, input, and maintenance of master schedule as directed.
  • Follows attendance, punctuality, and proper dress rules.
  • Performs duties in a courteous and professional manner.
  • Responsible for state reporting corrections relevant to their job duties, including but not limited to Local Education Agency Personnel System.
  • Assists when needed in routine office and/or clerical tasks to support activities of secretary, bookkeeper, receptionist, principal, or other administrators as needed.
  • Assists parents and/or school personnel in obtaining needed documentation, verifications, or records for meetings, projects, planning, or legal proceedings.
  • Contacts and/or corresponds with other schools or agencies to complete student registration and/or records.
  • Meets and deals effectively with the public, staff members, students, parents, administrators, and other contact persons using tact and good judgment.
  • Exhibits interpersonal and collaboration skills to work as an effective team member.
  • Models and maintains high ethical standards.
  • Demonstrates initiative in the performance of assigned responsibilities.
  • Posts/records and files correspondence and reports as directed.
  • Assists office personnel and/or administrators as needed with preparations for meetings, projects, visiting groups, delegations, or conferences.
  • Maintains expertise in assigned area to fulfill project goals and objectives.
  • Participates in the training programs offered to increase skill and proficiency related to assignment.
  • Ensures adherence to security rules and safety standards.
  • Arranges for technical support, servicing, and effective operation of office technology and office machines as needed.
  • Maintains appropriate confidentiality regarding school/workplace matters.
  • Demonstrates initiative in identifying potential problems and/or opportunities for improvement in areas of responsibility.
  • Exhibits interpersonal skills to work as an effective team member.

  • Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.
  • Demonstrates support for the school system and its goals and priorities.
  • Reports absences and takes leave in accordance with Board policies and procedures.
  • Performs any other job-related duties as assigned by Supervisor(s).

Terms of Employment Twelve-month position in accordance with the Board approved salary schedule.

Evaluation: Performance of this job will be evaluated in accordance with provisions of the State Department of Education and/or Pike Road Board of Education policy on evaluation of classified personnel.
