Assistant Bid Administrator (Commercial Construction)

The Assistant Bid Administrator plays a crucial role in supporting the bid management process within a fast-paced environment that requires the best of the best multitasking skills and attention to detail. This individual will assist in coordinating and organizing the various aspects of bidding on new commercial glazing projects. This candidate will work closely with the estimating team to ensure all necessary documentation is prepared, organized, and submitted in a timely manner. The Assistant Bid Administrator will also help in gathering data and maintaining bid-related records. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively within a team.

Responsibilities:

  • Support the estimating team in all aspects of the bid management process.
  • Assist in the preparation and submission of bids, CORs, and new job setup.
  • Organize and maintain the bid inbox while setting up new bids and saving all documentation, including specifications, and supporting documents provided.
  • Coordinate communication between internal departments and external clients involved in the estimating process.
  • Assist in analyzing bid related data and records accurately.
  • Ensure all correspondence and bid documents are forwarded and saved correctly.
  • Ensure all proposals created by estimators show the correct data and send proposals to the correct General Contractors.
  • Keep all bid-related spreadsheets up to date daily.

Requirements:

  • Proven experience in administrative support roles, preferably in a bid management or procurement environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in document preparation and data management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Effective communication skills, both written and verbal.
  • Ability to work collaboratively in a team environment and independently when necessary.
  • Knowledge of preconstruction processes is advantageous.
  • Ability to adapt to changing priorities and work well under pressure in a fast-paced environment.

The Assistant Bid Administrator plays a vital role in supporting the organization's business development efforts by assisting in the preparation and submission of all bids prepared by estimators. This role requires a combination of administrative skills, research abilities, and attention to detail to ensure the successful execution of all preconstruction processes.

Job Type: Full-time

Pay: $47,000.00 - $53,000.00 per year
