As the Office Manager, you will be the heart and face of Airspace Europe’s employee experience. You will embody our culture and be passionate about our employees’ safety and well-being. As we grow rapidly, your role will be extremely visible and you will have the opportunity to help us to prepare for the future while making sure our European offices are running smoothly. You will apply your expertise to many different projects that require ownership, coordination, and strong communication skills to see through to completion. You are a relationship builder, a warm and welcoming presence, and thrive on making sure the offices are a place where employees feel at home.

You will be part of the People Team in Europe and report to the People Operations Specialist in Europe. You will work and collaborate closely with the People Operations Specialist, the Office Manager in the US, IT and the European employees to ensure the office atmosphere is thriving and everything is working. You will be working 12 hours per week and upon need, also over time.

You are a self-starter with a knack for technology who can excel in a fast-paced startup environment. That means working on multiple projects simultaneously, shifting gears in a moment's notice, and being able to think two steps ahead of everyone. We’re looking for that person who knows what to do next, and if there isn’t a next step, figuring out what the next step should be and doing it - all while putting our employee’s happiness first!

🎉 Your Responsibilities and Tasks:

  • Oversee daily operations across our European offices, including Hoofddorp, Stockholm, and soon Frankfurt, aiming for excellence in the workplace experience that's both globally consistent and locally relevant.
  • Plan and execute office events for employees, coordinating with the Office Manager in our US office to provide a comparable experience.
  • Upon need, assist in after hours events.
  • Ensure office security compliance, along with adherence to health and safety regulations.
  • Manage vendor and property management relationships to meet service requirements and resolve any issues promptly, covering cleaning services, food/snacks, interactions with the landlord, IT issues, and office supplies, and more.
  • Handle facilities-related tasks for onboarding new European employees.
  • Manage shipments and mail to our global locations, working alongside onsite contacts and external partners.
  • Continuously adapt and improve workplace processes with a focus on sustainability and scalability.Keep essential office supplies well-stocked for seamless daily operations.

🌟 Your Skills, Experience, and That Extra Spark:

  • At least 1 year of experience in managing vibrant offices, ideally across multiple locations in Europe.
  • Strong proficiency in either G Suite or Office 365.
  • Fluency in English and Dutch are essential.
  • Excellent communication skills, both written and verbal.
  • Outstanding time management and prioritization abilities.
  • A dynamic and energetic approach, ready to embrace new projects and ideas.
  • Sharp attention to detail coupled with solid organizational and project management capabilities.
  • Professional demeanor, capable of handling challenging situations with grace.
  • Self-motivated and proactive, with a knack for quick action and thorough follow-up.
  • Flexibility in working hours and openness to taking on various roles as needed.
